Job Description
The Sr Recruiting Coordination Representative plays a central role within Intuitive’s Talent Acquisition team, working collaboratively to support group goals. This versatile position calls for an organized, proactive team member who is committed to client service, communicates effectively, and thrives in a fast paced, team environment. Success in the role requires the ability to anticipate and respond to changing priorities, while using a variety of tools to improve both team processes and candidate experience.
Essential Job Duties
Facilitate and support the requisition creation process in Workday - HRIS for recruiting and hiring teams by ensuring each request is reviewed promptly, audited for accuracy and launched seamlessly into the approval workflow. Emphasize timely coordination, accuracy, and streamlined collaboration to enable a smooth transition from requisition submission through final approval.
Finalize job requisition for job posting and recruitment activities by loading the job description, auditing and completing all required fields and initiating the final approval workflow for TA leadership within our recruiting ATS.
Serve as an ambassador for candidate experience by managing interview scheduling, coordinating travel arrangements, reviewing expense submissions, and guiding candidates throughout each stage of their interview process. Utilizing online scheduling software system adhere to documented SLA to ensure timely scheduling of all interviews and debrief meetings. Interview loops may involve onsite and remote components and people in multiple time zones or locations. Maintain proactive, clear communication and deliver exceptional customer service to candidates, recruiters, and hiring leaders, ensuring all participants feel supported, informed, and valued—ultimately delivering a positive, seamless interview experience from start to finish.
Oversee and manage the end-to-end hiring process, which may include the initiation of background checks, monitoring exception reports, and ensuring timely and accurate completion of process documentation. Final audit review of offer details to finalize offer letter components before extending offer letter to candidate. Adherence to company policies and regulatory requirements at every step, ensuring a compliant and efficient onboarding experience for new team members.
Utilize ServiceNow (HRHN) ticketing and case management system for a variety of inquiries and tasks that need to be addressed by the Coordination team. Monitor and update assigned case load as appropriate until cases can be resolved and closed. These tickets may include inquiries from both internal and external customers.
Adhere to established activity metrics standards including volume, cycle times, SLA and fall out rates for various interview coordination activities to ensure adherence to key performance standards and provide insights for continuous process improvement and strategic decision-making.
Participate in training initiatives and UAT, serving as a subject matter expert for coordination activities and providing insights to enhance team efficiency and operational effectiveness.
Assigned ad-hoc project work to assist with the review of documentation or operational processes and provide input and recommendations for solutions and continuous improvement.

A minimum of 4 years of related working experience in human resources
