JOB SUMMARY: The Group Room Coordinator will serve as the liaison between Sales and the arrival of Convention Group Contacts. Their primary focus will be on groups with hotel room bookings and events managed by Convention Services. Additionally, they will prioritize maintaining clear communication with guests regarding group room reservations.

 

About the role:

  • Accurately maintain room inventory in the reservation system. 
  • Communicate with group contacts, Banquet Management and Sales Managers as it relates to cut-off dates, inventory concerns, availability, suite assignments, arrival times, VIP's, rooming list, and pick-up reports. 
  • Accurately input all rooming lists and reservations in a timely and efficient manner.
  • Stays up to date and complies with all hotel policies.
  • Maintain and distribute a weekly pick-up report to the yield group.
  • Produce cut-off reports on a weekly basis. 
  • Effectively manage inventory which maximizes resort interest.
  • Understand and respond to all group guests’ needs in a professional and effective manner.
  • Perform routine audits to ensure accuracy of group rooms. 
  • Participate in all scheduled pre-arrival group meetings.
  • Be familiar with the workings of reservations, sales, banquets and understand how they interface with group rooms. 
  • To understand LMS functions as it relates to creating specific packages, group billing, special requests, bed types, shares, and inventory controls. 
  • Accurately ensure that all special billing is set up correctly for all group guests. 
  • Investigate and ensure proper billing for any group no-shows. 
  • Ensuring consistent, high quality service standards are maintained in areas of responsibility.
  • Check with culinary team to determine menu changes, substitutions or deletions for the day, and notify staff.
  • Investigate and resolve guest complaints or concerns in accordance with standard procedures.
  • Departmental walkthroughs are done on a daily basis to ensure cleanliness, and all equipment is operational.
  • Conduct a physical inventory of and requisition replacement items as needed.
  • Maintaining proper employee/employer relations.

Our ideal candidate:

  • College degree in Hotel/Restaurant Management
  • Equivalent technical training/experience in the food and beverage industry
  • Five years of Banquet/Catering experience, with at least two years in a supervisory role
  • Excellent interpersonal, customer service, leadership, communication, team-building, and problem-solving skills
  • Proven ability to maintain consistent, high-quality guest service
  • Strong understanding of how job responsibilities relate to other areas of operation
  • Computer technical savvy, with the ability to effectively multitask administrative duties
  • Willingness to work any shift, any day, as needed

  • Physically mobile with reasonable accommodations, able to lift and carry up to 50 lbs.
  • Ability to stand for up to 10 hours and navigate stairs.
