About the role

Department Overview

The mission of Risk Management is to provide a comprehensive risk management program that contributes to health, safety and protection of patients, employees, faculty, students and visitors, while also protecting the University's physical and financial resources. OHSU uses a combination of self-insurance and commercial insurance to fund risk of loss. Risk manages over 30 lines of insurance as well as a captive insurance company. Claims are managed internally by experienced claims managers.

Function/Duties of Position

Providing Proof of Liability for Clinical Staff

  • Off Campus Authorization:
    • Manage, process and monitor Off Campus Authorization (OCA) requests through the online OCA system as directed by the Associate Director.
    • Respond to requests and assist new users with applications.
  • Certificates of Insurance:
    • Coordination with various OHSU departments and outside entities, including credentialing offices, to produce or request required Certificates of Insurance as directed by the Associate Director.
    • Monitor Claims History and Certificate of insurance request dashboard; troubleshoot and respond to requests in a timely manner.

Insurance Records Maintenance

  • Maintain master Insurance Program Summary list, track and catalog insurance policies, assist in tracking renewal information on the various lines of insurance coverage maintained by Risk Management.
  • Assist with the review and renewal of OHSU’s comprehensive insurance program.

Claims Support

  • Support, as requested by VP/Chief Risk Officer, Associate Directors or Claims Managers, initial investigation into risk management issues, including providing proof of insurance and other relevant documentation for professional liability, general liability, cyber and property potentially compensable events, claims and lawsuits.
  • Identify, investigate and address customer needs related to potential and actual claims as assigned, including but not limited to potential labor & employment claims, workers’ compensation, property, auto, cyber and general liability claims, and other highly sensitive matters.

Administrative Support

  • Within guidelines set by the VP/Chief Risk Officer, provide day-to-day coordination of the Risk Management department operations including, but not limited to, triage of significant organizational risk issues to determine appropriate routing and management of specific issues and matters.
  • Serve as the coordinator for Risk Management services provided to other departments and external customers to assure appropriate involvement of specific RM staff and resources.
  • Duties may also include: correspondence; answer, screen and direct phone calls, disseminate information; coordinate meetings and training events; assist with the production of reports, materials; telephone support.
  • Direct inquires as necessary, explain processes and procedures to customers, provide information about services available, and receive incoming calls and route to appropriate staff /office.
  • Assist CRO/VP and Associate Directors with developing presentations for internal/external stakeholders.
  • Other duties as assigned.

Required Qualifications

  • Bachelor’s degree or 5 years of equivalent experience in an administrative office.
  • Experience working in an administrative office environment.
  • Knowledge of administrative processes related to insurance/administrative/legal needs.
  • Familiar with risk/legal/insurance issues.
  • Requires hard-working team player; excellent interpersonal and organization skills; ability to work independently with minimal supervision; excellent professional judgement; excellent work ethic.
  • Ability to multi-task, organize, and prioritize workload.

Preferred Qualifications

  • Work experience in property/casualty insurance, healthcare, higher education or government agency.
  • High level knowledge of Excel (manipulate data, create graphs, pivot tables), Word, PowerPoint.
  • Familiarity with claims database or similar.
  • Insurance industry specific designation such as Associate in Risk Management (ARM) or Associate in Claims (AIC).

Additional Details

Position is fully remote but will be required to work a set schedule Monday - Friday. Regular office hours are 8:00am - 4:30pm PT.
