About the role

Your Role 

Responsibilities 

  • Act as liaison with other departments to address and resolve internal and external issues in a timely manner.
  • Issues will-call bills of ladings
  • Maintain and order office supplies
  • Create MRO’s for Operations and Management.
  • Controls access to non-company vehicles via truck gate.
  • Organizes and prioritizes large volumes of information and calls.
  • Ensure adherence of all established administrative and clerical procedures of the office.
  • Package and prepare all outgoing packages and mail.
  • Receive, organize and distribute all incoming mail and packages.
  • Organize and prepare invoices and A/R documents to be singed and mailed to corporate for payment.
  • Scan and file all BOL’s, CoA’s and other documentation
  • Maintain document files for BOL’s, CoA’s, MRO’s and purchase orders.
  • Support customer service and sales as needed
  • Create a positive and professional office environment.
  • Represent the Brenntag Pacific group in a professional manner.
  • Observe, follow and enforce all Brenntag Pacific Policies and Procedures.
  • Attend all required training when scheduled unless absent from work.
  • Performs other duties as assigned by management

Your Profile 

Experience 

  • Ability to read, write and speak the English language.
  • Proficient level of skill in Microsoft Office, particularly Word and Excel, and the BUS system.
  • Possess the ability to work quickly, accurately and independently, capable of prioritizing multiple and competing projects.
  • Ability to perform under pressure with minimal supervision.
  • Possess high standard of work ethics to ensure confidentiality of company information
  • Ability to maintain a positive work attitude while executing duties.
  • Ability to define problems, collect data, establish facts and draw valid conclusions in a timely manner.
  • Possess excellent written/oral communication skills while paying great attention to detail.
  • Ability to effectively communicate with all levels of staff, including upper management.
  • Ability to work with internal and external customers, resolving problems in a manner acceptable to the customer and satisfaction of the company.
  • Willingness to work overtime as needed.

Education 

  • Associates degree (A. A.) or equivalent from two-year college or technical school, experience inoffice management a plus, preferably in the chemical industry; or equivalent combination of education and experience.
