Job Summary:

The Senior Administrative Assistant for the College of Lake County (CLC) Advanced Technology Center (ATC) provides standard and advanced clerical support, assists with day-to-day operations and coordination of the center, welcomes visiting students, faculty, and community members and administratively supports to the Director of the ATC and the Ex. Director of Workforce Initiatives. This position requires a high degree of collaborative skills with internal and external partners and the community, as well as a keen attention to detail and in-depth knowledge of department and college procedures. Exercising good judgment is an essential skill in addressing a variety of situations with students, faculty and staff, while maintaining high standards of customer service, front desk coordination, and other special projects. This position reports to the ATC Director.

Job Description:

Student /Customer Services- 30%

Receives visitors, answer telephones, reviews inquiries, provides advice, and positively represents the College and the Advanced Technology Center (ATC) to students, faculty, administrators and the community. Responds to basic questions and routes referrals appropriately. 

Department Operations and Projects – 50%

Always promotes and maintains a welcoming and safe environment at the ATC; uses discretion and knowledge of college and departmental policies and procedures throughout duties; supports the ATC Director and Executive Director of Workforce Initiatives in their duties as requested; maintains outlook calendars, coordinate meetings and appointments, schedules conference rooms and training rooms; assist with business travel arrangements; serves and responds to ATC students, visitors, and personnel for ATC information, directions, and ATC issues requiring attention; assist in scheduling, coordination, preparation, and hosting of activities and events at the ATC as needed; assists in providing ATC tours when needed; tracks events and guest; maintains instructional and office supplies inventory; assists in supervising activities and task management of student workers.  

Center and Department Procurement- 15%

Performs procurement and purchasing activities related to the ATC such as consumables and small supplies; conducts ATC office and program purchasing; monitors and manages ATC budgets as directed; reconciles dept. cardholder procurement account statements and travel expense reports to meet college processing deadlines and assists in keeping expense account budgets in balance.

Other -5%

 Performs other related duties as assigned. The Senior Administrative Assistant must maintain high standards of customer service while overseeing front desk coordination and other special projects.

Required Qualification(s)

  • High school diploma & minimum of four years of recent experience administrative support or related experience

  • Excellent communication, and interpersonal skills

  • Excellent detail and organizational skills

  • Problem solving and decision-making skills

  • Strong keyboarding and computer skills.

  • Proficient in Outlook, Word and Excel

  • Ability to work in a flexible setting

  • Ability to work with confidential information

  • Ability to interact and work effectively with college community, faculty, executive, leadership and support staff while maintaining strong working relationships.
