GENERAL DESCRIPTION OF POSITION

Under the general supervision of the Dean of the School of Graduate Psychology, this position is responsible for all clinical training management practices for masters and doctoral programs for the School of Graduate Psychology, including data entry and management related to site placements and certifications for placement, clinical training registration, affiliation and training agreements, retrieval of clinical training data, and knowledge of Oregon laws related to clinical placements of students in community sites. The qualified applicant will have skills and feel comfortable learning and working with database management programs. Time management, task organization, and efficient communication skills are essential. This position description is not intended to be all-inclusive and will have additional responsibilities as required and assigned.

 

 

ESSENTIAL FUNCTIONS/MAJOR RESPONSIBILITIES

Clinical Records Management

  • Maintain and administer confidential student and site clinical training files
  • Coordinate and oversee requests regarding licensure applications, and forms specific to clinical placement
  • Track student compliance with state and site requirements (e.g., required screenings, trainings, and classes) and disseminate proof of compliance to sites.
  • Prepare and maintain predoctoral psychology internship applicant records from year to year.
  • Assist in development and maintenance of internal and external databases (e.g., Time2Track), practicum sites) for clinical training data.
  • Process and track submission of all clinical training student registration, student hours, student evaluations, and grade reports.

 

Clinical Placements

  • In coordination with program DCTs, maintain practicum databases and assist with the annual practicum placement process.
  • Develop and refine practicum and fieldwork contracts and affiliation agreements
  • Organize yearly clinical training fairs.
  • Attend monthly Clinical Coordinators meetings and as-needed meetings with SGP faculty
  • Manage student registration for clinical training courses to the Registrar’s Office.
  • Manage Clinical Training Resources Page for students
  • Manage clinical training listservs (e.g., distribution lists for clinical supervisors)
  • Solicit feedback from students about clinical training sites and supervision; analyze and disseminate feedback.
  • Advise students regarding the process of practicum and fieldwork selection and placement.
  • Liaison to outside agencies and schools regarding the placement process.

 

School Level Support

  • Together with other SGP staff, provide in-person office coverage to:
    • Serve as a backup and resource to student workers and graduate assistants who staffing the front de
