With multiple locations across the region, our team is dedicated to delivering exceptional patient experiences while supporting our Providers and staff through collaboration, quality, and respect.Position SummaryPatient Service Representative and Scheduling Lead is responsible for managing, coordinating, and maintaining provider schedules to ensure optimal clinic operations. This role serves as the central point of contact for schedule adjustments, PTO requests, template management, and patient rescheduling. In addition, the position provides Patient Services Representative (PSR) coverage at the Bastrop satellite clinic 4–6 times per month, supporting shared Providers who operate out of that location

Qualifications
- Strong organizational skills with excellent attention to detail.
- Ability to manage multiple schedules and priorities simultaneously.
- Proficiency with scheduling systems, Microsoft Outlook, and Excel (including template creation). Excellent communication and collaboration skills for working with Providers, Managers, and cross-functional teams.
- Previous experience in a healthcare setting, preferably in patient services or schedule coordination.
- Flexibility to travel to and cover the Bastrop clinic as needed (4–6 times per month).
- Adjust provider schedules according to on-call rotations and individual preferences.
- Update provider schedules to reflect ESWL (Extracorporeal Shock Wave Lithotripsy) coverage and remove clinic availability when assigned.
- Receive and process all provider PTO/out-of-office requests:
- Update provider schedules accordingly.
- Enter PTO dates into the Provider PTO calendar in the Management Knowledge Center.
- Block schedules, bump patients, and coordinate rescheduling in collaboration with PSR leads.
- Monitor and maintain the “Bumped Patient List,” ensuring timely follow-up and communication with PSR leads.
- Notify managers of bumped patients and schedule changes by sending Outlook calendar invites.
- Create, maintain, and update provider schedule template spreadsheets.
- Collaborate with Site Managers to review, approve, and implement templates before rollout.
- Maintain accurate and current documentation of provider schedule change requests.
- Provide PSR coverage 4–6 times per month at the Bastrop satellite clinic.
- Support shared Providers by:
- Checking in patients, scheduling follow-ups, and managing daily appointment flow.
- Assisting with patient inquiries, insurance verification, and documentation.
- Serving as the liaison between Bastrop operations and central teams to ensure continuity of care and scheduling.
- Adjust Executive Committee members’ calendars to accommodate monthly meetings and related scheduling needs.
