Position Summary

We are seeking a highly organized and customer-focused Calibration Customer Service Administrator to support the Calibration Department. In this role, you will serve as a primary point of contact for customers, ensuring timely communication, accurate data management, and a seamless service experience. The ideal candidate thrives in a fast-paced environment, excels at managing multiple tasks, and works collaboratively across internal teams. This position plays a key role in coordinating quotes, job setup, documentation, and customer communication while maintaining a high level of accuracy and professionalism.

 

Responsibilities:


Serve as a primary point of contact for internal and external customers via phone and email, ensuring prompt and professional communication
Create, update, and maintain customer accounts, job records, and data within CRM, IndySoft, and related systems
Generate and manage quotes, work orders, and job records, ensuring completeness and accuracy
Coordinate new customer setup, partnering with Finance to establish accounts and complete onboarding requirements
Prepare and provide customer-required documentation, including supplier forms, certificates of insurance, W-9s, ACH forms, safety documents, and quality procedures
Handle customer inquiries, status requests, complaints, and service needs with a customer-focused approach
Review purchase orders for accuracy, pricing, terms and conditions, required contact details, and technical requirements
Scan, upload, and maintain all supporting documentation (POs, estimates, specifications, work orders) within system records
Collaborate with calibration technicians, quality, finance, and internal teams to ensure efficient workflow and customer satisfaction
Communicate service delays, scope changes, or updates to customers and internal stakeholders as needed
Support continuous improvement efforts by identifying process gaps and opportunities for efficiency
Other duties as assigned

QualificationsRequired Experience and Skills:


High school diploma or equivalent required; associate or bachelor’s degree preferred
1 to 3 years of experience in customer service, administrative support, inside sales support, or related role
Strong verbal and written communication skills with the ability to build positive customer relationships
Ability to manage high volumes of communication while prioritizing tasks and meeting deadlines
High attention to detail with strong organizational and data accuracy skills
Ability to assess customer needs and align them with appropriate calibration services
Ability to work independently and complete tasks with minimal supervision
Strong teamwork orientation and ability to collaborate with cross-functional teams (technical, sales, finance, and quality)
Commitment to continuous learning and professional growth
Proficient with Microsoft Office Suite, including Excel
Experience with CRM systems and database management preferred
Willingness to work onsite in Marietta, GA five days per week


 

Work Conditions


Full-time position with standard business hours based on departmental needs
Standard office environment including extended periods of sitting, computer work, and communication via phone/VOIP systems
