Overview of the Role:

We are seeking an experienced and dynamic Associate Director, Program Management Office (PMO) to lead our growing team of Project Managers and oversee a diverse portfolio of projects that span across multiple departments. The ideal candidate will play a crucial role in driving project success by working seamlessly across all organizational levels, demonstrating a deep understanding of Privia's structure and stakeholders, and bringing a blend of process improvement and project management expertise. This role requires an individual who is not only willing to roll up their sleeves but can also provide structure and leadership, effectively managing a portfolio of projects and reporting project statuses succinctly to the executive team.

Primary Job Duties: 

  • Leadership:
    • Lead, mentor, and develop a team of Project Managers, fostering a collaborative and high-performance culture.
    • Work closely with team members to ensure effective project delivery, providing guidance and support as needed.
    • Demonstrate a hands-on approach by actively engaging in project work when necessary.
    • Balance direct involvement in projects with strategic oversight of the PMO department.
  • Portfolio Management:
    • Oversee a portfolio of projects, ensuring alignment with organizational goals and strategic objectives.
    • Implement and maintain project management best practices, standards, and methodologies across the organization.
    • Provide regular, succinct updates on project statuses to executive leadership.
    • Develop and implement comprehensive project plans for mergers and acquisitions, outlining timelines, milestones, and deliverables.
  • Stakeholder Engagement:
    • Foster effective communication and collaboration across all levels of the organization.
    • Interface with internal and external stakeholders, including executives, Legal, HR, Finance, and other relevant departments, to ensure project milestones are met.
    • Facilitate communication and coordination among various departments to drive synergy and achieve common goals.
  • Training and Development:
    • Develop and deliver training programs, materials, and resources to enhance the project management capabilities of internal team members.
    • Promote a culture of continuous improvement and learning within the organization.
  • Operational Excellence:
    • Establish and enforce disciplined project management processes and structures.
    • Implement and maintain expense tracking, ROI analysis, and KPI measurement for all projects.
    • Use data-driven insights to identify areas for improvement and implement corrective actions.
  • Reporting and Analysis:
    • Develop and maintain reporting mechanisms to track project expenses, return on investment, and key performance indicators.
    • Provide actionable insights based on data analysis to drive continuous improvement.

Qualifications

  • 7+ years experience developing program management processes in a healthcare setting
  • PMP certification
  • Experience in hospital, medical group, or ambulatory setting with cross-functional team exposure preferred
  • Experience with project management tools (Smartsheet, Monday.com, Taskray, Excel etc.)
  • Knowledgeable about ambulatory healthcare structure and Management Service Organizations (MSO)
  • Must comply with HIPAA rules and regulations
