About the role

Description

The office manager / receptionist is responsible for the day to day clerical and administrative activities of our Anchorage office. This is a single person position so responsibilities include entry level clerical tasks (such as phones, mail sorting, keeping the office tidy and organized, office supplies management, and other similar duties). The position is also responsible for board and staff travel, and board meeting support, as well as other additional higher level duties and special projects for the executive team, as requested. The ideal candidate for this position will friendly, professional, and reliable and must be able to work in a dynamic and diverse office environment. This is an in-office position and remote work is not available.

  • Answer, screen, and transfer incoming phone calls while providing basic information when needed
  • Greet, welcome, and direct visitors
  • Perform general clerical duties, including photocopying, faxing, and mailing documents
  • Schedule and coordinate meetings, appointments and travel arrangements for staff and Board of Directors
  • Track and reconcile travel spending
  • Provide assistance with the preparation of meetings held at the Anchorage office.
  • Ensure that breakroom, conference room, and mail room are kept clean and organized.
  • Receive, open, sort, and distribute daily mail/deliveries/couriers
  • Maintain office supplies inventory
  • Coordinate and schedule maintenance for office equipment
  • Maintain and distribute staff contact lists
  • Other duties as assigned

Requirements

Minimum high school diploma or GED is required. College degree, or business office certificate also preferred. Three years of previous office experience is desired. The ability to speak/understand Yup’ik is helpful. Successful applicants must possess the ability to represent the company in a professional manner, both verbally and in writing. Strong computer skills and knowledge of Microsoft Office products is required. Working knowledge of standard office equipment, including copiers, printers, and postage machines. Applicants should have knowledge of clerical and administrative procedures and systems, and possess the ability to ensure tasks are handled with a high degree of professionalism. A team-player attitude is essential.

In order to successfully perform the duties of this position, the employee is regularly required to effectively remain in a stationary position for long periods of time, operate a computer and other office productivity machinery, communicate with others in person and over the phone, and move about inside the office. This position requires the ability to sit, effectively use hands and fingers, talk and listen, reach with hand and arms, stoop, kneel, and crouch. Occasionally this position may be required to lift and/or move up to 25 pounds. Specific vision abilities required by the job include close vision, distance vision, depth perception, and the ability to adjust focus. The ability to work in a constant state of alertness and in a safe manner is also a requirement.

This position is performed in an office setting with exposure to computer screens and florescent lighting. It requires the regular use of a computer, keyboard, mouse, and multi-line telephone system. The noise level in the work environment is usually quiet. Remote work is not available for this position.
