Job Summary:

Reports to the Practice Manager, the Ophthalmic Clinical Coordinator is a working Ophthalmic Clinical Coordinator that provides clinical support to the physicians & APPs and is a coach/mentor for Ophthalmic clinical associates. The Ophthalmic Clinical Coordinator serves as a role model for other clinical employees and promotes teamwork, integrity, and continuous practice improvement. The Ophthalmic Clinical Coordinator ensures efficient flow of all patients and strives to maintain exemplary service and satisfaction standards at all times. The Ophthalmic Clinical Coordinator is also responsible for compliance with all OSHA/CLIA and HIPAA regulations and ensuring completion of all duties vital to business operations.

DUTIES AND RESPONSIBILITIES:

​1. Provide support to manager, including:

  •  Assist manager with interviewing candidates for vacancies and make hiring recommendations to manager.
  •  Assist Manager with performance evaluations, corrective action/counseling, resolving associate issues.
  • Train and orient new employees.
  • Coordinate schedules, workflow, and delegate assignments.
  • Monitor performance and quality.
  • Ensure compliance with OSHA/CLIA/HIPAA. Provide training as needed.

2. Oversee supply ordering and drug samples. Delegate duties as appropriate.
3. Accurate documentation in record and EMR, patient history and vitals, prepare patient for exam.
4. Provide patient care and clinical support to provider(s) prior to, during and after exam, including ophthalmic testing procedures utilizing applicable equipment and accurately document in patient record.
5. Provide instructions to patient under directions of the providers.
6. Track surgical and laser procedures for each provider.
7. Maintain adequate level of supplies in exam rooms and workstations.
8. Clean and disinfect exam rooms following protocol.
9. Timely assist with completion of patient requests.
10. Accurate and timely completion of referral process/outpatient test scheduling, and pre-certification.
11. Timely and accurate filing/distribution of all patient information and incoming mail.
12. Increase efficiency in each office.
13. Interact with Central Billing Office (CBO) as needed to resolve patient issues.
14. Answer telephones within three rings and be helpful and friendly.
15. Fill in as a technician based on clinical needs.
16. Troubleshoot equipment when the system is down.
17. Technician assessments (performed quarterly on each technician)
18. Other duties as assigned.

EDUCATION:

Required: High School Diploma or GED

LICENSE AND CERTIFICATIONS:

RequiredAn approved credential, such as Certified Ophthalmology Assistant (COA) or Certified Ophthalmology Technician (COT)

YEARS OF EXPERIENCE:

Required: 1+ years of Ophthalmology medical practice experience.

Preferred: One year in a supervisory role desired

REQUIRED SKILLS AND KNOWLEDGE:

Candidate must be knowledgeable in Ophthalmology in order to perform essential Ophthalmic duties. Assist in minor in-office surgeries, vision, lensometry, document contact lens information, measure IOP, refraction, dilated refraction, pupils, muscle balance, confrontational fields, OPD, OCT, Visual Field, A-scan, Lenstar, Pachymetry, Tonometry, Manual Keratometry, Glare testing, Color testing, and Worth 4 dot.

Direct communication with a patient in a language other than English requires the associate to complete an assessment to become Qualified Bilingual Staff (QBS). The associate is required to complete CBLs and future assessments to maintain QBS status.
