Assistant Director of Admissions - Undergraduate Systems


THE OPPORTUNITY

Colorado School of Mines invites applications for the Assistant Director of Admissions Undergraduate Systems. This position is a full-time, 12-month, administrative faculty professional exempt position in the Admissions Office. The position reports to the Director of Admissions Systems and is a member of the Enrollment Management Division. The role may be hybrid and/or remote in Colorado.

The Assistant Director provides oversight of all undergraduate admissions application processes which includes annual coordination with multiple campus offices to facilitate enrollment intake processes. In coordination with the Director of Admissions Systems, oversees the undergraduate instance of Slate, including daily monitoring of Slate processes and data management, user access and permissions, and ongoing optimization of the CRM system. The position collaborates with ITS, Institutional Research and the Director of Admissions – Systems to ensure effective and efficient business processing and accurate and timely reporting. The position supervises 1.5 FTE admissions processing personnel.

RESPONSIBILITIES

Admissions and Enrollment Operations (35%)

  • Oversight of all undergraduate admissions application processes. Train and supervise professional and student staff in all aspects of admission application processing. Directly involved with processes including, but are not limited to, inquiry/application input, scanning, indexing, payment reconciliations, configuration/integration, updates/troubleshooting of the undergraduate Slate instance.

  • Oversight of undergraduate enrollment process including annual coordination with multiple campus offices to facilitate updating of deposit payment processes and tracking, reconciling, refunding and forfeiting procedures. Manage all enrollment intake processes requiring collaboration with Residence Life, the Registrar, Fiscal Services, Student Health Center, the Bursar, Financial Aid, and others.

  • Responsible for the tuition classification of all incoming undergraduate students through the processing and review of tuition classification form submissions; serves as the main point of contact for student questions regarding tuition classification. Works closely with Registrar’s Office on residency compliance and continued improvement to the tuition classification process.  

Data Management, Reporting and Program Enhancement (35%)

  • Assist with maintaining, streamlining and optimizing Slate for the enhancement of electronic processes in the undergraduate admissions cycle. Respond to incoming requests for system updates, enhancements and data requests from Admissions and other campus partners.  

  • Oversight of the electronic scanning and indexing of all application and enrollment documents, in accordance with document retention policies. 

  • Collaborate with ITS, Institutional Research, and Director of Admissions - Systems to ensure the cleanliness of admissions data, including data to be submitted bi-annually to the State. Ensure resolution of any data errors, warnings, or questions. Must be detail-oriented, and appropriately handle confidential data and information.

Supervision (25%)

  • This position will supervise two classified staff members; the 1.0 FTE - Administrative Assistant III for Admissions – Admissions Processing, and the part-time (0.5 FTE) Document Specialist for Admissions. Additionally, this position will coordinate with the Administrative Assistant III the training and supervision of 7 – 14 student application clerks.

Other Duties as Assigned (5%)

  • The Assistant Director of Admissions – Undergraduate Systems will support other Admissions programs as needed. This support may include application file evaluation, participating in on-campus visitation programs, serving on various internal and external committees, and other special projects and duties as assigned. During some periods in the Admissions cycle, some weekend and evening work may be required.

QUALIFICATIONS

Minimum Qualifications

  • This position requires a bachelor’s degree, and progressive experience in college admissions or college student services processing and operations; 

  • Experience with personnel supervision, and a record of effective collaboration with other campus offices. 

  • Admissions CRM experience, preferably Slate.

  • Strong process management, resourcefulness, use of good judgement, and the ability to work well under pressure and meet deadlines are impo
