About the role

 

Banyan Treatment Centers, a leader in addiction treatment, is seeking a full-time Office Coordinator to join our team in Waelder, TX. 

As an Office Coordinator, you will play a key role in bridging HR, management, and employees, facilitating smooth communication and coordination to ensure efficient daily operations. In this role, you’ll provide exceptional customer service to a diverse group, including patients, managers, and staff. Your responsibilities will include conducting new hire orientations, managing employee files, monitoring CEU compliance, maintaining office inventory, answering calls, handling mail, and overseeing patient funds and petty cash. Additionally, you will manage visitor screening, tobacco orders, and patient property discharge, contributing to seamless day-to-day activities.

 

Position Details: 

  • Schedule: Full-time, Monday-Friday.
  • Location: Waelder, TX (On-site)

Key Responsibilities:

  • Provide excellent customer service to a diverse population, including substance abuse patients, executives, directors, employees, and HR.
  • Conduct new hire orientations and assist employees in completing necessary training, ensuring smooth onboarding.
  • Assist HR with employee file maintenance and auditing personnel files to ensure regulatory compliance.
  • Monitor employee Continuing Education Units (CEUs) in accordance with regulatory and State requirements.
  • Complete and submit training and performance reports to track progress and compliance.
  • Maintain office inventory and forms.
  • Answer and route incoming calls professionally, ensuring inquiries are directed to the appropriate contacts.
  • Handle internal and external mail efficiently, ensuring timely distribution and response.
  • Assist in the coordination of the annual employee benefits enrollment, supporting employees through the process.
  • Maintain accurate, up-to-date documents, forms, and position paperwork.
  • Screen all visitors, verify identity, and ensure sign-in on the visitor log.
  • Manage patient funds and petty cash distribution.
  • Oversee cigarette/tobacco orders, including verifying funds, placing orders, recording payments, and distributing items to clients.
  • Prepare patient property for discharge.

 

Requirements:

  • 2 or more years of clerical/administrative work experience. 

 

Preferences:

  • Work experience in the field of behavioral and/or mental health treatment.
  • Familiarity with HRIS systems, particularly UKG.
  • An associate's degree or higher.
  • Bilingual candidates, especially those fluent in Spanish, are strongly preferred for.

 

Abilities and Skills:

  • Adherence to Healthcare Code of Ethics and familiarity with Joint Commission
