Purchasing Assistant

The Purchasing Assistant is responsible for supporting various internal stakeholder groups in our Synergy Chicago manufacturing site including the Maintenance Department, Manufacturing, Safety, Quality, Research & Development, Regulatory and Procurement.  This role is also responsible for the purchasing of maintenance parts and supplies, plant consumables and packaging materials. The purchasing assistant also supports the Procurement Team in special projects and initiatives as assigned.  The position is responsible for maintaining stocks, managing inventory and coordinating replenishment of stocks with designated vendors.  

Responsibilities

• Purchases routinely ordered items according to established policies and procedures.
• Completes required purchase orders and coordinates with vendors on the fulfillment and shipping.
• Aids the facility maintenance team in the sourcing and procurement of equipment parts.
• Follows-up with vendors in a timely manner to resolve issues related to the purchasing of goods.
• Makes certain that purchasing documents are completed properly and accurately.
• Provides day-to-day assistance and clerical support to Purchasing Department staff.
• Achieves assigned goals regarding inventory levels and inventory turns.
• Attends meetings and participates in projects as required.
• Maintains various excel-based reports and files.
• Manages documents on department team sites.
• Supports functional groups in projects as assigned.

Skills and Requirements

•  2+ years of purchasing, customer service, or office administrative work experience
• Purchasing experience in MRO (Maintenance Repair and Operating) supplies a strong plus.
• Basic Excel skills a must and Advanced-level Excel skills a strong plus
• Excellent time management skills with the ability to multi-task.
• Excellent data management, attention to detail, customer service, organizational and communication skills.
• Computer skills with Microsoft Windows applications to include Word, Excel and Outlook.
• Experience with Microsoft Dynamics D365 ERP System a strong plus.
• Experience in a manufacturing setting preferred.
