The Role
As the Executive Assistant to the Chief Executive Officer (CEO), you will provide indispensable support at the apex of organizational leadership. This dynamic, high-visibility position requires a proactive and resourceful individual adept at managing critical priorities in a fast-paced environment. You will play a pivotal role in ensuring the CEO’s office operates seamlessly, enabling strategic decision-making and organizational impact. As the Senior Executive Administrative Assistant to the CEO, you’ll become a cornerstone of our executive team, shaping the rhythm of the organization and contributing directly to our continued growth and success.
The Main Responsibilities
• Take initiative to provide comprehensive administrative support to the CEO, acting as a trusted gatekeeper and liaison for internal and external stakeholders.
• Coordinate, prepare, and manage agendas, presentations, and correspondence for executive meetings and high-level engagements.
• Oversee and prioritize complex scheduling, calendar management, and logistics for the CEO, anticipating needs and resolving conflicts with discretion and efficiency.
• Drive critical, time-sensitive items through meticulous task management, maintaining focus on both immediate and long-term objectives.
• Apply advanced critical thinking and a thorough understanding of the company’s goals to prioritize executive support activities.
• Handle sensitive information and confidential materials with utmost integrity and sound judgment.
• Manage diverse administrative tasks, including expense report processing, invoice management, office supply procurement, and the maintenance of digital and physical files.
• Plan and execute intricate domestic and international travel arrangements for the CEO and accompanying executives, including accommodations, transportation, and event venues.
• Serve as a primary point of contact for VIP clients, board members, and partners, representing the Office of the CEO with professionalism and tact.
• Draft, proofread, and prepare correspondence and communications on behalf of the CEO, maintaining high standards of clarity and accuracy.
• Foster positive and productive daily interactions with executive leadership, board members, and key business partners.
• Support strategic initiatives by collaborating with cross-functional teams, including Sales, Marketing, and Operations, to facilitate high-impact meetings and engagements.
• Perform additional duties and special projects as assigned, demonstrating flexibility and adaptability.
What We Look For in a Candidate
• Minimum of 7 years’ experience in executive-level administrative support, with direct experience supporting a CEO or C-suite executive highly preferred.
• Demonstrated success navigating high-pressure, fast-moving environments with poise and professionalism.
• Expert proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with enterprise systems such as SAP and Concur.
• Strong interpersonal skills, with the ability to communicate effectively and build relationships at all organizational levels.
• Exemplary organizational skills, keen attention to detail, and the ability to prioritize complex workloads with minimal supervision.
• Outstanding discretion, judgment, and an unwavering commitment to confidentiality.
• Creative problem-solver, proactive, and self-directed, with a positive, approachable manner.
• Proven ability to manage multiple projects simultaneously, meeting established deadlines under tight time constraints.
• Associate’s degree required; Bachelor’s degree in Business Administration or a related field strongly preferred.
Compensation
This information reflects the anticipated base salary range for this position based on current national data. Minimums and maximums may vary based on location. Individual pay is based on skills, experience and other relevant factors.Location Based Pay Ranges
