Job Description:

The Supportive Care Coordinator provides scheduling and administrative support to multiple specialty service departments.  They will manage complex scheduling across multiple platforms, scanning of documents, handling phone calls, etc.  They are also an experienced administrative staff member who collaborates and coordinates with other members of a multidisciplinary team to endure efficient and effective patient care.  This position coordinates direct and indirect care and promotes communication both among clinic teams and patients.

ESSENTIAL FUNCTIONS:

  • Acts as a liaison with providers, designated clinic staff, and authorization team regarding the scheduling of appointments 
  • Works to research and resolve problems in a timely manner
  • Ability to organize multi step processes and achieve timely completion for multiple patients and multiples specialty services departments simultaneously
  • Demonstrates competency in knowledge of telemedicine and ability to educate patients on the use of videoconferencing
  • Performs high functioning or challenging scheduling across multiple platforms and specialties, including adjusting regimens for radiopharmaceuticals
  • Schedules patient appointments, tests and admissions, both in-person visits as well as telemedicine
  • Escalates any question(s) or issue(s) as needed.  Serves to problem solve, focusing on operational issues that may impede patient outcomes in a timely manner and brings possible solutions forward 
  • Acts as a resource to providers and staff to promote the supportive services department benefits 
  • Promotes positive customer service relations by assuring referral process is well-coordinated and timely experience for the patient and the referring physician offices
  • Responsible for the support and development of the different specialty service departments and their missions
  • Assist with the development and implement communication regarding workflow processes, protocols, policies, and procedures   
  • Answers the telephone in a courteous, efficient manner
  • Updates demographic and insurance information and enters appropriately into Patient Management System (PM) or Electronic Health Record (EHR)
  • Obtains necessary records needed for authorizations and follow up
  • Monitors and routes both inbound and outbound faxes
  • Electronically scans appropriate patient related records into the Electronic Health Record (EHR)
  • Collaborates with other departments and clinics to develop standardized communication processes. 
  • Demonstrates excellent customer service. Responds promptly to patient, physician, and clinical requests 
  • Maintains and ensures confidentiality of patient information 
  • Attends meetings as required
  • Communicates to other staff members using Instant Messaging System
  • Willing to travel to clinics as needed
  • Performs duties in accordance with Tennessee Oncology values, policies, and procedures 
  • Performs other duties as assigned
