Summary
The Office Manager manages a variety of general office activities by performing the following duties personally or through direct reports and other company personnel. This position will directly supervise the Dispatcher and support/assist with Dispatcher duties.
Essential Duties and Responsibilites
- Support operations by supervising staff (Dispatch); planning, organizing and implementing administrative systems
- Prepare and review operational reports and schedules to ensure accuracy and efficiencies
- Know business, products, customer, vendors, employees, teamwork concepts and philosophies as applied to worksite
- Keep timely and orderly records such as daily cash receipts, petty cash, files, employee records, and other administrative documents
- May be responsible for administrative and accounting functions such as bookkeeping, assist with payroll preparation and review, information management, personnel files, filing systems, requisitions of supplies and other administrative functions
- Establishes and monitors uniform correspondence procedures, including coordination of overnight shipping of documents
- Reviews clerical and personnel records to ensure completeness, accuracy and timeliness
- Coordinates activities of various clerical departments or workers within department
- Answer telephones, greets customer and visitors as needed
- Pcard proxy - keeping track of the receipts etc
- Production entry
- Creates Manufacturing Order
- Creatives and receives Purchase Orders
- Order Entry
- Supervisor of Dispatcher, supporting the dispatcher with Company Driver dispatching, and transfers, booking carriers
- Office supply ordering
- Other duties and responsibilities related to the nature of the job may be assigned on a temporary or permanent basis as needed
Supervisory Responsibilites
- Responsibilities include interviewing, and training employees; planning assigning and directing work; appraising performance; addressing complaints and resolving problems
- Directly reviews and monitors efforts and initiatives carried out by the direct reports and other plant personnel
- Set goals and deadlines for the department and direct reports
- Responsible for evaluating the performance, training needs, professional development and discipline of direct reports

Requirements/Education/Experience
- High school diploma, Associate’s degree preferred, or equivalent of one plus years’ office experience or equivalent combination of education and experience
- Supervisory experience
- Knowledge or experience with Dispatch is desired.
- Knowledge of basic office equipment (phone, fax, copier, 10-key)
- Strong Microsoft Office skills
- Excellent verbal and written communication skills
- Ability to communicate with employees, peers, supervisors, vendors, and customer is an effective manner
- Must be detail oriented, organized, and have problem-solving and reasoning skills
- Ability to perform basic math calculations such as addition, subtraction, multiplication, division and computing rates and ratios
- Ability to apply common sense understanding to carry out written and oral instructions Ability to solve practical problems and deal with a variety of concrete variables with little or no structure Internal and external customer service oriented
- Ability to work independently
