Mary McDowell Friends School (MMFS) invites applications for a full-time Human Resources Coordinator beginning June 2024.


Job Title: Human Resources Coordinator

Reports to: Director of Human Resources


Position Overview

The HR Coordinator will support the school's mission by directly aiding and facilitating various HR functions and supporting the Director of Human Resources on behalf of the Business Office. The coordinator will oversee the school’s time & labor functions, process hires, and maintain and update employee data in the human resources information system. 


Essential Responsibilities and Duties

  • Manages the school’s time and attendance tracking process by liaising with managers to ensure that paid time off benefits for employees are accurately recorded
  • Coordinates with payroll for payment of paid time off and reconciling of wages; in coordination with Director of Human Resources
  • Maintains human resources information system (HRIS) maintenance and other employee-related databases (VX, carrier sites, etc.)
  • Process all employees' pre-employment background check process, including other ancillary school employees 
  • Works with the Director of Human Resources to review the successful clearance of all necessary employment screening
  • Maintain and audit digital personnel files annually in compliance with applicable legal requirements and best practices
  • Assist with recruitment & pre-hire document collection from hiring managers and new employees; prepare new employee files. 
  • Coordinates onboarding and offboarding of employees per internal school processes
  • Ensures job descriptions are updated to meet position requirements and ADA compliance
  • Prepares the employee transition documents for both voluntary and involuntary terminations
  • Updates and maintains a log of the employee handbook changes
  • Updates HR-related content on the school’s online intranet and physical job posting spaces
  • Assists the Director of Human Resources with various research projects and/or special projects
  • Willing to display a commitment to anti-bias and anti-racism work and to promoting inclusion, belonging, and equity through their work in the classroom and school community
  • Assists with annual HR Audit
  • Other duties as assigned

Supervisory Responsibility

This position has no supervisory responsibilities.


Position Type/Expected Hours of Work

This is a non-exempt, full-time position (100%FTE). Days and hours of work are between Monday through Friday, 9 a.m. to 5 p.m., with a half-hour paid lunch. Evening and weekend work may be required as job duties demand and will be scheduled in advance.


Travel

Travel between campus is necessary on occasion and is within walking distance from each other.


Work Environment & Physical Demands

This job operates in a clerical office setting and is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets, and bend or stand as necessary. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
