Job Summary

As the Associate Director of Advancement Information Systems, you will help shape the strategy for Advancement technologies, lead records management initiatives, and transform data into actionable insights that strengthen engagement and fundraising efforts. This position blends technical expertise with a deep understanding of advancement operations to enhance systems, improve business intelligence, and drive meaningful results across the Advancement division.

Responsibilities

  • CRM and Advancement Technology Administration:
    • Directly supports the optimization, maintenance, and ongoing administration of the Advancement CRM, including management of processes, objects, records, applications, other Salesforce components, and system documentation.
    • Oversees system maintenance, user access, troubleshooting, and support for assigned Advancement technology tools.
    • Leads technology upgrade initiatives and implements system customizations to meet divisional needs.
    • Develops and delivers training, reference materials, and documentation for Advancement and campus colleagues.
    • Assists with compliance efforts related to data privacy and protection requirements, including the Family Educational Rights and Privacy Act (FERPA), General Data Protection Regulation (GDPR), Colorado Privacy Act, and other applicable regulations
  • Integrations and Data Transfers:
    • Serves as project manager and technical resource for data integrations between advancement technology solutions, campus databases and data warehouses, and the Advancement CRM.
    • Acts as the primary Advancement liaison to campus partners regarding integrations and data systems.
    • Leads testing and validation activities to ensure successful system integrations and data accuracy.
    • Supports the secure transfer of data to and from external vendors and third-party partners for a variety of institutional projects and initiatives.
  • Reporting and Analytics:
    • Creates, maintains, and enhances a comprehensive suite of Advancement reports, dashboards, and analytical tools to support operational effectiveness and strategic decision-making.
    • Meets regularly with stakeholders to identify reporting needs and develop new or updated reporting solutions.
    • Develops and maintains data integrity and exception reports, proactively identifying and addressing errors to improve data quality and reliability.
  • Records Management and Data Governance:
    • Provides leadership for records management and data governance functions, developing proactive strategies and best practices to support data hygiene, accuracy, and consistency.
    • Identifies opportunities to improve data sharing and accessibility while ensuring appropriate stewardship of constituent information.
    • Develops and implements quality control measures to maintain record integrity, including ongoing assessment of data quality, oversight of data entry standards, and continuous improvement of records management processes.
    • Supervises the Records team and provides leadership, guidance, and performance oversight
  • Alumni Relations and Program Support:
    • Manages the Colorado College Day (CC Day) program and supports related alumni relations initiatives that strengthen engagement with alumni and constituents.
    • Collaborates with Advancement colleagues and campus partners to coordinate programs, activities, and communications that foster meaningful alumni connections and advance institutional engagement goals.
