Job Description

  • This position will report to the Senior Manager, Procurement - Global Travel & Events, supporting travel and event operations including  strategic reporting, monitoring compliance, tracking spend, driving savings and data analytics.
  • Collaborate with internal stakeholders to understand meeting objectives and how we can best support and streamline processes.
  • Managing Cvent meeting requests.
  • Assist with identifying payment solutions for small meetings and events.
  • Assist with sourcing larger events and leading the sourcing for smaller events via Cvent.
  • Liaison with key vendors to build relationship and visibility internally with key stakeholders.
  • Utilize and monitor internal Procure to Pay system to provide visibility on meeting and event spend through budget and PO approval, contract review and management approval.
  • Create preliminary budgets, managing invoices and deposits for larger events.
  • Analyzing data to better understand the travel and meeting landscape to assist developing new processes, guidelines, and policy.
  • Assist in developing shared resources to communicate guidelines and processes for internal and external events.
  • Ability to work well under pressure and be able to adapt to new developments.
  • A team player who is excited to be a part of a new travel and event procurement function.
  • Strong relationship-builder who can engage internally and externally to ensure that business needs are met quickly and efficiently. 
  • Must be detail oriented and  have exceptional organization and communication skills. 
  • Must be comfortable negotiating and reviewing small event contracts for hotels, special event venues, restaurants etc.
  • Must be excited about implementing a Strategic Meeting Management Program.
  • Key Responsibilities: 

  • Support travel and event operations including  strategic reporting, monitoring compliance, tracking spend, driving savings and data analytics.
  • Analyzing data to better understand the travel and meeting landscape to assist developing new processes, guidelines, and policy.
  • Source, negotiate and contract hotels, restaurants, other event venues as needed.
  • Partnering with internal business partners to understand meeting objectives and how we can support and streamline processes.
  • Manage meeting requests and  internal Procure to Pay application.
  • Facilitates interactions among Legal, Finance, and business owners to ensure risks, budgets and costs are appropriate and align with objectives and strategies of Dynatrace.  

Qualifications

Minimum Qualifications:

  • 1 – 3 years’ experience in event and travel operations and reporting
  • HS Diploma or GED required

Preferred Qualifications:

  • Bachelor’s degree preferred
  • Strong aptitude working with Excel, PowerPoint, BI and other business analytics.
  • Experience sourcing and planning small events.
  • Experience preparing and managing event budgets, financial plans, and related assumptions.
  • Proven project management skills: Strong attention to detail and ability to track multiple initiatives with different stakeholders, timelines, scale, and scope.
  • Demonstrated ability to roll up your sleeves, collaborate and drive projects through to completion. 
  • Experience working at a Global level.   
  • Ability to work in a fast-scaling organization that has been growing +30% yr. over yr.   
  • Enlist strong process and project management skills/ability to manage change.   
  • Demonstrated ability to manage multiple competing priorities in a fast-paced environment.   
  • Excellent verbal and written communication skills required; must be comfortable connecting with and communicating with individuals at all levels of an organization.   
  • Candidate must be local to Waltham, MA, this is a hybrid work schedule requiring
