The HME Specialist will serve as a critical member of our team, providing support in the intake process, product selection, and patient education for home medical equipment (HME) needs, with a specialized focus on respiratory care. This role ensures that all patients receive exceptional service and compliant, patient-centered care.  

Responsibilities:

  • Patient Intake and Assessment.
  • Coordinate with referral sources to collect and verify patient information, insurance, and medical documentation.
  • Assess patient needs through medical documentation, verbal consultations, and physician orders, particularly focusing on respiratory care equipment.
  • Ensure compliance with all federal, state, and payer-specific guidelines during intake.
  •  

Product Selection and Patient Education:

  • Recommend appropriate HME solutions, such as oxygen concentrators, CPAP/BiPAP machines, nebulizers, and related accessories. Must have strong experience with each method of respiratory care.
  • Educate patients and caregivers on proper use, care, and maintenance of respiratory equipment.
  • Collaborate with clinical teams to determine the best products for patient-specific needs.

Order Fulfillment and Documentation:

  • Process and coordinate patient orders, ensuring timely delivery or pickup.
  • Maintain detailed and accurate records of patient interactions, equipment provided, and education delivered.
  • Ensure adherence to company and regulatory standards, including Medicare and Medicaid requirements.

Compliance and Communication:

  • Support efforts to ensure adherence to the Anti-Kickback Statute, Stark Law, and patient choice principles.
  • Act as a liaison between patients, clinicians, and payers to ensure seamless communication and service delivery.
  • Provide feedback to leadership about process improvements and product recommendations.

Equipment Management and Support:

  • Perform basic troubleshooting for respiratory devices and escalate complex issues to technicians or manufacturers.
  • Stay updated on the latest respiratory care products and industry best practices.
  • Collaborate with the HME Supervisor and warehouse team for inventory management.
  • Position requires on-call availability to answer telephone calls to triage patient issues with their respiratory equipment.

Qualifications:

  • Minimum 2 years of experience in a DME or healthcare environment, with an emphasis on respiratory care.
  • Familiarity with DOL, DEEOIC, and private insurance billing processes is a plus.
  • Strong understanding of respiratory equipment, including operation and troubleshooting.
  • Excellent communication and customer service skills.
  • Detail-oriented with strong organizational abilities.
  • Proficient in using software for patient records and order management.
  • Knowledge of compliance requirements for HME and respiratory care.

Education:

  • High school diploma or GED required; Associate’s or Bachelor’s degree in a healthcare-related field preferred.
  • Respiratory-related certifications (e.g., CRT, RRT) preferred.
  • Certified Durable Medical Equipment Specialist (CDME) certification is a plus.

Work Environment and Physical Requirements:

  • Office-based role with occasional patient-facing responsibilities.
  • May require standing, sitting, or lifting equipment up to 50 pounds.
  • Must be able to work collaboratively in a fast-paced, compliance-focused environment.
