Employee Development Coordinator/Assistant III (Temporary position)

In this role you will provide administrative support and coordination of the learning initiatives delivered by Employee Development team for management, leadership, and professional (office) staff.
Coordinate with other Training teams within Penumbra to maximize consistency of processes and systems for enrollments and maintain training records.
Oversee posting and maintaining of material on the department intranet site and enable employees and managers to easily find accurateschedules, resources, and news.
Note: This is a temporary position not expected to exceed 6 months in length.
Specific Duties and Responsibilities• Manage all aspects of in-person or virtual class logistics, including booking meeting venues, ordering food, supplies and (printing) materials, and producing virtual events (managing the technology) to aid in the learners’ experience. • Create and maintain a master department schedule of learning offerings that is published for the organization to reference, coordinating to avoid conflicts with other large company-sponsored events and facilitators’ availability. • Help with internal marketing and communication of department offerings, including helping to draft communications, course descriptions, and other material that aid in the department appropriately advertising learning opportunities and resources. • Coordinate resources and uploads into team website. • Manage the assignment of licenses to maximize company investment in systems and resources, monitoring usage, and pulling utilization reports to evaluate investment. • Partner with the appropriate internal teams to create reports needed for program nominations, enrollments, attendance records, and class evaluations to help generate data for continuous improvement. • Oversee session enrollment to ensure classes are full, keeping facilitators informed of requests and enrollment levels. • Being a first point of contact for the department, answering employee questions and assisting with enrollment. • Manage third party vendor relationships (partners we use to facilitate or purchase material from) and oversee the billing and contract administration process.• Collaborate with other Penumbra training teams to assist (when needed) with vendor management and the coordination of technical training set-up upon request for classes that span multiple departments.• Assist with Community outreach initiatives supporting (diversity efforts) including but not limited to assisting with the coordination of speakers, coordination of volunteer events, and participant enrollments.• Adhere to the Company’s Quality Management System (QMS) as well as domestic and global quality system regulations, standards, and procedures. • Understand relevant security, privacy and compliance principles and adhere to the regulations, standards, and procedures that are applicable to the Company. • Ensure other members of the department follow the QMS, regulations, standards, and procedures. • Perform other work-related duties as assigned.
Required Qualifications• Associate degree with 4+ years of professional office experience, preferably in Learning and Development, Human Resources, or Diversity area, or equivalent combination of education and experience • Excellent written and verbal communication skills, and interpersonal skills• Able to anticipate and plan for classroom and learning needs, proactive planning with resources, materials, and technology needs• Excellent customer service orientation• Strong attention to detail• Knowledgeable with SharePoint• Proficiency with Microsoft Office (PowerPoint, Excel, and Word)• Ability to learn systems for generating reports• Proficient with online tools and technology to “produce” virtual classes with facilitator (Zoom and Microsoft Office preferred)• High degree of accuracy and attention to detail• Excellent organizational skills with ability to prioritize assignments while handling various projects simultaneously• Ability to work onsite in Alameda, as needed is highly preferred.
Working Conditions• General office environments. • Position may include travel from 5-10%. • Willingness and ability to work on site. • Requires some lifting and moving of up to 15 pounds• Must be able to move between buildings and floors. • Must be able to remain stationary and use a computer or other standard office equipment, such as a printer or copy machine, for an extensive period of time each day. • Must be able to read, prepare emails, and produce documents and spreadsheets. • Must be able to move within the office and access file cabinets or supplies, as needed. • Must be able to communicate and exchange accurate information with employees at all levels on a daily basis.
Base Pay Range Per Hour: $37.00 - $40.00/hour Individual compensation will vary based on factors such as qualifications, skill level, competencies, work location and shift, and will increase over time based on meeting performance and business
