Occupational Summary

 

The Senior Meeting and Events Coordinator plans, organizes, and executes major events for the Center for Child and Family Policy and ensures that each event reflects the Center’s mission and commitment to excellence. The coordinator develops and implements publicity plans for major events and creates promotional materials for electronic and print distribution. 


•    Plan, publicize and implement major CCFP external events (in person and/or virtual). 
•    Assist in the planning and management of CCFP internal events for students and staff.
•    Perform other related duties incidental to the work described herein.
 
This position reports to the associate director for administration and is part of the Center’s administrative team. Work hours vary, with occasional weeknight and weekend work required.

 

Work Performed

 

Plan and organize CCFP major events, including the endowed Sulzberger Distinguished Lecture series (2-3), The Early Childhood Initiative Series (3-4), and School Research Partnership events (1-2) each academic year, as well as other high-profile initiatives related to the strategic and educational goals of the Center, as assigned. Other responsibilities include coordinating with CCFP’s and the Sanford School’s communications teams to publicize events, working with diverse stakeholders inside and outside the university to promote Center events; collaborating with other units across campus; coordinating staff for maximum effectiveness and fostering positive relationships with external contacts by representing the Center for Child and Family Policy to local, national, and international speakers and attendees involved in Center activities and events. Additionally, the Senior Meeting and Events Coordinator will oversee the planning and management of CCFP internal events for students and staff. 

 

Duties include:
•    Develop, plan, and execute all major CCFP external events (virtual and in-person)
•    Generate marketing plans and create publicity and promotional materials for Duke University and external audiences 
•    Create and oversee budgets for major events
•    Create comprehensive plan for logistics and staffing for all major events; manage logistics, staffing, and production during events
•    Assist with other Center events such as all-center meetings, graduation event for certificate students and other events as needed
•    Maintain Center-wide calendar of events, Center presence on Duke online events calendar, and Events section of Center website, including Qualtrics surveys for registrations
•    Serve as primary liaison to high-level out-of-town speakers for conferences, Sulzberger lecturers and Early Childhood lecturers, as well as for all invited guests
•    Negotiate contracts with hotels and event support as needed
•    Supervise event personnel, including caterers, audio visual technicians, and others and provide audio/visual support for smaller events
•    Serve as Center liaison with the Sanford School of Public Policy Central Communications team
