The Opportunity
We are currently seeking a Technician I - Administrative Shop Drawing Coordinator to join our Florida Turnpike office in Ocoee, FL.
This role supports the successful delivery of transportation projects by coordinating the electronic processing, tracking, and close-out of shop drawings using the Florida Turnpike Enterprise’s ProjectSolve and SharePoint systems. The position works closely with project managers, inspectors, engineers of record, contractors, and Turnpike reviewers to ensure shop drawings are processed accurately, on time, and in accordance with established procedures.
What You’ll Do
In this role, you will support the administration and coordination of shop drawings throughout the project lifecycle. You’ll serve as a key point of contact for shop drawing workflows, help ensure compliance with review timelines and procedures, and provide system support and training to project teams.
Key Responsibilities
- Assist with the administration and coordination of electronic shop drawing processing using the Florida Turnpike’s ProjectSolve SharePoint system.
- Create and maintain project folders and file structures for newly assigned projects, including required master folders and subfolders.
- Coordinate project setup within ProjectSolve, including team roles, contact information, and access requests, in collaboration with project managers, CEI staff, and ProjectSolve administrators.
- Monitor review timelines for Architects of Record (AOR), Engineers of Record (EOR), and Turnpike reviewers, and follow up as needed to support timely processing.
- Coordinate shop drawing procedures, item lists, and schedules with Construction Engineering Inspectors (CEI), Construction Project Managers (CPM), Production Project Managers (PM), contractors, and reviewers.
- Review incoming shop drawings for compliance with submission requirements and route drawings appropriately; void or return submittals when errors or deficiencies are identified.
- Distribute shop drawings to appropriate reviewers, track multi-discipline reviews, and ensure consolidated comments and stamps are returned as a single coordinated response.
- Process, finalize, and close out shop drawings, ensuring proper documentation, stamping, and archiving.
- Provide ProjectSolve training and support to project teams, including CEI staff, reviewers, and project managers, and assist with reporting and tracking tools.
- Coordinate special review requirements, including welding inspections, precast inspections, and other discipline-specific reviews, as applicable.
- Assist with documentation searches, EDMS inquiries, and archiving of completed shop drawings.
- Support other Assistant Shop Drawing Coordinators as needed and contribute to continuous improvement of shop drawing processes.
What You’ll Bring
- Strong organizational skills with a high level of attention to detail.
- Excellent written and verbal communication skills, with the ability to coordinate across multiple stakeholders.
- Proficiency with Microsoft Office tools, including Outlook, Word, Excel, PowerPoint, and SharePoint.
- Working knowledge of Adobe Acrobat (PDF documents).
- Experience working in electronic document management or workflow systems (ProjectSolve or similar platforms preferred).
- Customer service mindset with the ability to manage competing priorities and deadlines.
- Familiarity with SharePoint; experience with Power BI is a plus.
