Department Overview
The Referral Response Coordinator (RRC) Lead will play a key role in coordinating the successful growth of CLA’s mission and goals in collaboration with the administrative team. This position will serve as an expert and leader within the team and work collaboratively with other departments to identify and advance initiatives in support of overall organizational strategic goals and values, including staff training and professional development, quality improvement, and performance management.
Utilizes healthcare knowledge and industry-specific protocols to manage all aspects of the organ donation referral process in Cascade Life Alliance’s (CLA) Donation Service Area (DSA) which includes 84 hospitals in Oregon, southern Washington, and southwest Idaho. Applies established national and organizational protocols in consultation with the Administrator on Call to implement referral triage and onsite response strategy to conduct comprehensive medical record review and evaluation on all potential donors to determine medical suitability. Coordinates activities related to organ donation referral process among multiple stakeholders, including effective interdisciplinary communication with CLA and hospital care teams, to ensure optimal donation outcomes. Other responsibilities of the role may include communication with donor families and assisting the Organ Donation Specialist with clinical case start activities and administrative tasks as needed and available.
Function/Duties of Position
Performs duties as RRC Team Lead:
- Collaborates with the administrative team and CLA Education Program to effectively coordinate, implement, and oversee the onboarding and orientation process for new staff.
- Provides ongoing support to team members and actively collaborate to assess practice gaps, recommending and facilitating process improvement initiatives that align with organizational priorities and strategic goals.
- Engages in interdisciplinary collaboration with departments across CLA to ensure representation as well as enhance interdepartmental engagement and teamwork.
Referral Response
- Collects pre-screening information on all incoming donor-related calls, documenting information according to CLA’s policies and procedures.
- Evaluates incoming organ referrals for initial donor eligibility and communicates accurate referral information with the Administrator on Call (AOC).
- Monitors current organ referrals to determine and evaluate changes in plan of care utilizing EMR review and communication with the hospital care team.
- Performs initial and subsequent onsite huddles on local referrals.
- Collaborates with the healthcare team to maintain the option of donation for the family.
- Updates relevant internal and external stakeholders on status of active referrals and donor cases.
- Provides real-time education to hospital staff about the donation process.
- Collaborates with the Hospital Development department to ensure customer service needs are met for donor hospital partners.
Team Support
- Assists onsite Organ Donation Coordinator with various case functions such as chart completion, allocation calls and other logistical tasks as needed.
- Maintains ability to perform case starts in certain circumstances (this includes serology testing, standing orders, basic donor management and chart completion).
- Collaborates with the DFA team to facilitate authorization or disclosure with the legal NOK and accurately conducts a donor risk assessment interview with identified surrogate of the potential organ donor.
- Activates staff for relief as appropriate
- Coordinates logistics, when necessary, on active organ referrals and donor cases.
- Peer reviews charts, assists with cultures or any other Quality Assurance chart completion tasks as needed.
Other Duties as Assigned
Required Qualifications
- Associates of Science Degree with healthcare related focus or equivalent experience.
- 2-years recent relevant clinical or educational experience.
- Must have a valid driver's license and access to a vehicle
