Purpose
Provide administrative support to the Outreach & Scholarship team, in the Texas BBA Program Office in the McCombs School of Business.
Responsibilities
Assist with planning and attending events such as meetings, summer camps, workshops and recruiting functions. Work with vendors to ensure invoices are accurate and are paid in a timely manner. Maintain a list of vendor information for ordering process.
Provide general administrative support for the team. Maintain inventory of office supplies or marketing materials and order as needed. Support Outreach & Scholarship office operations by performing other general clerical duties.
Create financial transactions such as purchase orders, payment vouchers, and travel reimbursements using University applications. Assist with tracking and managing budgets for various accounts.
Provide a professional and friendly atmosphere for the BBA Outreach front desk. Greet and direct visitors, answer phones, and provide general information to guests. Manage schedule and appointment system for Outreach & Scholarship Team.
Create and track work requests to campus service providers such as Facilities Services.
Support additional areas of the Student Affairs division of the BBA Program Office as needed.
Required Qualifications
Bachelor's degree and one year of experience at the Administrative Assistant level, or high school graduation or GED, and five years of clerical experience, including one year of experience at the Administrative Assistant level.
Strong interpersonal and problem-solving skills.
Ability to communicate well in person and in writing.
Ability to work independently and as part of a team.
Ability to assess workload, prioritize tasks, and meet deadlines to successfully manage concurrent projects for multiple areas with accuracy.
Experience with Microsoft Office Suite.
Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
Education/Experience beyond the required, advanced knowledge of Microsoft Office Suite, especially with Excel.
Experience coordinating events or travel arrangements.
Experience working effectively within UT's administrative infrastructure.
Experience with business support functions in a university academic department or executive office. Experience maintaining budgets.
Ability to speak Spanish
Salary
$44,500 annually
Working Conditions
Work shift is Monday - Friday, 8 AM – 5 PM. Some evening and weekend hours may be required during peak periods and special events.
Works in an open office environment at a shared front desk. Serves as first point of contact for office visitors.
Repetitive use of a keyboard at a workstation.
