What You Will Be Doing

Executive Support

  • Manage Chief Customer Officer’s calendar
  • Organize virtual and/or in-person meetings 
    • Including coordinating with other members of Leadership, logistics, distributing internal and external reminders, and preparing meeting materials 
  • Anticipate Chief Customer Officer’s needs depending on workload in coming weeks
    • Sync with Chief Customer Officer’s direct reports to understand how much time is needed and if the meeting materials are prepared
  • Draft, review and send communications on behalf of Chief Customer Officer
  • Complete tasks assigned by Chief Customer Officer in timely manner
  • Take minutes of team meetings and follow up with the team on action items
  • Send Chief Customer Officer reminders for important employee milestones
  • Gift giving/swag for internal and external stakeholders on behalf of Chief Customer Officer and Brightflag
  • Notate clients and prospects that the Chief Customer Officer meets with each month
    • Input clients and prospects into Salesforce campaign for Chief Customer Officer to send monthly update email
  • Create, manage, and execute slide decks for weekly All Hands team meeting
  • Submit and track Chief Customer Officer expenses
  • Assist with new hire equipment set up and distribution
  • Book travel and hotel accommodations for Chief Customer Officer and other members of the Leadership Team

In-Office Support

  • Be on site whenever the Chief Customer Officer is in our New York City office
  • Organize catering of meals when necessary
  • Conduct office manager responsibilities, including liaising with landlord and ensuring the office is stocked with supplies
  • Welcome visitors when Chief Customer Officer has in person meetings
  • Reserve conference rooms as needed for Chief Customer Officer and other team meetings
  • Assist out-of-town employees with office logistics (signing in, guest passes, directions, etc.)
  • Organize shipping as needed
  • Other duties as assigned

 

Skills & Experience  

  • 2-3 years’ prior experience in supporting executive level leadership
  • Detail oriented self starter with the ability to prioritize and balance conflicting demands 
  • Excellent analytic, problem solving and organizational abilities
  • Works well under pressure and has the ability to share feedback as needed
  • Demonstrates strong interpersonal skills and works effectively with people at all levels
  • Energetic and eager to tackle new projects and ideas
  • Ability to exercise independent judgment and make decisions 
  • Excellent Google Workspace, writing, and editing skills
  • Comfortable interacting with high-level executives and ability to maintain confidentiality
