Position Overview:
The HR Assistant/Office Administrator will be reporting to the HR Generalist and provide support to the Human Resources Department in various capacities including but not limited to benefits administration, coordination of employee files and recruitment coordination efforts. In addition, the HR Assistant/Office Administrator provides general office support by ordering and maintaining office supplies, communicating with property managers, and assisting in management of external vendors. Strong communication skills and attention to detail are required.
This is a full-time employment opportunity working in our Headquarters office in Boca Raton, FL.

Qualifications:

- 1-3 years proven experience as an administrative assistant or office assistant
- Working knowledge of office equipment
- Strong communication and customer service skills
- Proficiency in Microsoft Office, intermediate skills in Excel are preferred
- Attention to detail and problem-solving skills
- Very strong organizational skills with the ability to multi-task
Responsibilities:
- Performs a wide range of duties relative to maintenance and processing of employee records and reports
- General office support and administration:
- Assist with IT inventory; ensure all employees have the equipment needed to work in-office and at home
- Monitor and manage meeting rooms and their respective calendars
- Organize and set up monthly employee appreciation breakfast and lunch
- Meet and greet visitors, notify any party involved and settle them into the appropriate meeting setting
- Arrange travel for employees and candidates that will be visiting the HQ office
- Maintain all aspects of the office by stocking up and ordering snacks and coffee, organizing packages and supplies, entering work orders for facility issues, etc.
- Handle communication between different vendors (plant maintenance, coffee supplier, printers rental, etc.
- Order anniversary gifts for employees

- Coordinate efforts associated with proper onboarding of new employees including but not limited to:
- Maintain new hire check list, communicating pending items prior to onboarding
- Ensure new hires are placed in proper systems – performance management, benefits administration, etc.
- Verify identification of new hires and complete I9 and E-verify process
- Coordinate with internal and third-party IT administrators to ensure proper set up of systems and equipment
- Prepare for arrivals by creating guides, calendaring training schedule, arranging desks, and providing all resources necessary
- Schedule new hire check ins with department managers
- Coordinate companywide recruiting efforts:
- Monitor the recruiting calendar schedule, assist with the calendaring of meetings as needed
