The Tepper Masters Career Center is recognized as one of the top MBA/Masters Career Centers globally. We are searching for an Assistant Director of Operations to join the team. Core responsibilities include:
Act as one of the MCC’s “master users” of the 12Twenty recruiting system to support students, in addition to oversight for other key MCC student-facing software systems:
Create and maintain accurate student records and access for MBA, MSPM, MSM and MSBA students across 6 academic programs, as well as alumni. Manage MCC “welcome” email communications to new students and serve as point of contact for student registration issues or questions concerning access and software user rights.
Create and maintain multiple resume books in 12Twenty for students and recruiters at key periods. Responsible for regular upkeep of resume books as students accept jobs or otherwise change their status. Communicate timely information to the rest of the MCC staff.
As one of the “master users” of the 12Twenty recruiting software, acquire a deep knowledge of relevant system modules and opportunities, recommending best practices to staff. Collaborate with MCC Recruiting and Employer Relations Team as relevant. Troubleshooting and/or escalating relevant issues with the vendor as needed.
Run standardized and/or create new reports in 12Twenty as needed to provide data for routine and more complex requests from internal or external staff or Deans Office.
Responsible for supporting the Executive Director as needed and providing operations oversight to the MCC. This includes providing oversight of the MCC Operating Budget, acting as point of contact and liaison to the Tepper Business Office, Tepper Computing, Human Resources and Tepper Building Operations, Tepper Marketing and others as needed to ensure smooth MCC daily operations:
Assist the Executive Director with forecasting and maintenance of the annual MCC Operating Budget. Forecast MCC operating expenses, keep accurate records, make recommendations to the Executive Director, troubleshoot issues that arise throughout the annual budget cycle.
Manage vendor relations and student access to MCC student offerings, including 12Twenty, CareerLeader, Case Coach, Exponent, MBA Exchange, CareerNomics, F1-Hire, Management Consulted and others as needed. Grants access to students as they become eligible and troubleshoots any user issues. Acts as point of contact with vendors for issue resolution, contracts and billing.
Oversee the process for establishing new and maintaining existing contracts with MCC vendors. Serve as a point of contact between vendors, Business Office and relevant MCC staff as needed.
Use Oracle to process travel/expense reporting for the MCC Executive Director or other staff as needed. Manage and regularly reconcile P-Card/Travel Card expenses.
Act as point of contact for any maintenance issues in the MCC suite, as well as overseeing the troubleshooting of tickets submitted to Building Operations and Computing.
Provide key support in student employment data gathering for all of our academic programs, including data compilation and reporting, contributing to the production and release of employment outcomes data that are accurate and in compliance with the Standards of the MBA Career Services and Employer Alliance:
Run standardized and create new employment outcomes reports in 12Twenty as needed to provide data for routine and complex requests for internal or external staff, Deans Office, Business Board of Advisors as well as external rankings providers.
Support the Executive Director and the MCC Director who are ultimately responsible for employment statistics as needed.
