What you need to succeed: 

We are seeking a personable and enthusiastic Executive Administrative Assistant reporting to the Chief Operating Officer (CMO) in our Newton headquarters.  This person will perform a mixture of administrative duties, high-level executive assistant work, onsite support for meetings, project oversight for the COO and additionally will support three Vice Presidents across Americas Sales, Sales Strategy and Channels. The Executive Administrative Assistant will drive key strategic projects that advance the COO’s agenda while also creating a positive, friendly impression for all internal and external people. The ideal candidate will be adaptable to all personality types, and flexible in the face of unexpected changes. Candidates must be articulate and have excellent writing and communication skills as well as have quality experience with administration and basic project management.   

 

What you will do: 

  • Preserves executive time by reading, researching, and routing correspondence; drafting communications; collecting and analyzing information; summarizing reports and initiating follow up and follow through 
  • Support the executives with administrative tasks, using attention to detail, task and time management skill and creative problem-solving capability 
  • Maintains calendar, executive appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel 
  • Schedule, prepare and assist with meetings and professional development events
  • Maintain excellent customer service and a friendly, positive attitude at all times 
  • Provide program support and assist with special projects as assigned 
  • Builds agenda for weekly staff meetings by proactively identifying important topics and working with team members to gather input  
  • Assist Administrative team (Executives, Finance, HR etc.) with general duties as needed 
  • Support function and organizational projects as needed  
  • Attend meetings and support management by preparing data for presentations and status reports 
  • Develop and present recommendations to senior level management  

 

How you will stand out from the crowd: 

  • Bachelor’s Degree preferred 
  • Minimum 2 years of relevant experience 
  • Professionalism and self-awareness at all times; ability to interact with a wide variety of people in a warm, competent, and professional manner 
  • Strong communications skills both verbal and written 
  • Ensure security, confidentiality, and integrity of data 
  • Embodiment of our organizational values of teamwork and optimism 
  • Computer literacy, with expertise in all Microsoft Office suite products 
  • Demonstrated ability to effectively organize and coordinate multiple priorities and projects 
  • Problem solving abilities paired with excellent judgment
