JOB DESCRIPTION-ASA VII

                                       

OVERVIEW:

            The EHS ASA VII helps to fulfill Employee Health Service’s mission of supporting the Center’s obligations to governing agencies such as the NYS Department of Health, O.S.H.A., the Worker’s Compensation Division of the NYS Department of Labor, the J.C.A.H.O., and the Center’s Infection Control and Environmental Health and Safety policies as they relate to the medical surveillance of Health Care Workers.  The Employee Health Service ASAVII has responsibility for the clerical duties inherent in the implementation of OSHA, CDC, Infection Control, Environmental Health and Safety, and the Hazardous Substance Medical Surveillance programs. The EHS ASAVII is expected to collaborate with the entire EHS team in order to provide timely, customer focused service.  The EHS ASAVII works independently and with a high degree of responsibility for the implementation of organizational plans.  Organizationally, the EHS ASA VII reports to the EHS Manager.

QUALIFICATIONS:

Graduation from High School and at least 5 years applicable work experience. Knowledge of and ability to apply medical terminology Working knowledge of computer programs with strong ability to train same Self motivation, independent work skills, attention to detail.  Must work very well with people and have skills in dealing with confidential and personal issues.  Strong Customer Service skills.

JOB DUTIES:

Lead ASA in Front Office

Coordinate workflow and job assignments among the ASA VI staff

Cover Reception desk as needed

Training Front End staff to include the implementation of the new computer system.

Ensure completion of daily tasks and special projects in front office to include but not limited to:

Front desk coverage

Onboarding

Annual assessment coordination, retrieval from Qualtrics, preparation form clinical staff, emailed clearance notification to managers

Terminations and transfers

Maintenance of records for those clients not in Workday to include Students, Volunteers, Non-employed Credentialed staff

Medical Records requests

Email and phones

Onboarding Liaison

Act as Liaison between Health Service, Human Resources, and Onboarding candidates to ensure a smooth, timely, and pleasant interaction for the new hire

Schedule appointments for the candidate

Reminder notifications to increase show rates and ensure that the candidate is aware of the requirements of the appointment (photo ID, Clean shaven, etc)

Preparation of patient records to include inclusion of previous record for re-hires

Liaison with HR staff to ensure that all candidates for a given orientation have been scheduled.  Inform HR of any no-shows or outstanding items while protecting medical privacy of candidate.

Coordinate lab reports with new hire charts to provide timely clearance bringing any unreported results to the attention of the Clinical staff.

Manage new hire Workday clearances once the Clinical staff have identified the candidate as cleared to start.

Attend Orientation meetings with HR and Security

Special responsibilities include, but are not limited to:

OSHA program regarding medical management of employees on the HAZMAT team OSHA program regarding medical management of employees on the ASBESTOS team OSHA program regarding medical management of employees in the Hearing Conservation program Bloodborne pathogen exposure forms review, interaction with Epidemiology as needed Post-exposure PPD compliance Implementation and administrative management of new special programs, such as the new surveillance program for HCW exposed to chemotherapeutic agents. Coordination of lists to managers and reminders to healthcare workers regarding annual assessments or vaccines/titers due Orientation and training of new ASA VI staff in conjunction with the Administrative Coordinator Assist with N95 fit testing as needed Assist with Joint Commission compliance within the department
