About the role

General Summary

Under general direction, the Senior Capital Project Manager is responsible for overseeing and facilitating the completion of capital projects across the association management portfolio. This role involves close collaboration with association management teams and boards of directors to ensure projects are delivered on time, within budget, and in alignment with client expectations.

Essential Job Duties and Responsibilities

  • Collaborate with association managers and boards to identify annual capital project needs and establish a project framework.
  • Review reserve studies and capital planning tools to develop appropriate capital projects.
  • Develop scopes of work for bid solicitations and coordinate with engineers and architects as needed.
  • Compile contractor bids and present bid packages to boards of directors, including attending board meetings to address questions and provide project insights.
  • Oversee contractor work from start to finish, including site visits, quality assurance, change orders, punch lists, and resident communication as necessary.
  • Review completed work for payment approval and assist association managers in documenting progress to satisfy lender requirements.
  • Maintain organized records of all project documentation, including bids, contracts, warranties, and change orders.
  • Assist in determining capital project funding within annual budgets in collaboration with management and boards.
  • Track and submit administrative records, including time spent per association/project, for accurate client billing.
  • Establish and maintain relationships with reliable contractors; recruit additional vendors as needed.
  • Participate in business development and attend industry events to expand and maintain contractor networks.
  • Coordinate with the Regional Facilities Manager to support emergency maintenance protocols as necessary.
  • Assist with onboarding and training of new project managers or maintenance personnel.
  • Manage additional projects as assigned.
  • Perform other related duties as required.

Job Requirements

  1. Proven experience in residential capital project management, including collaboration with property management, boards, and contractors.
  2. Strong interpersonal and communication skills, both written and verbal.
  3. Ability to work both independently and within a team environment.
  4. Strong customer service orientation.
  5. Excellent attention to detail, organizational skills, and time management.
  6. Effective leadership skills, with the ability to train and mentor team members.
  7. Commitment to safety and adherence to safety procedures.
  8. Ability to set and prioritize work to meet operational goals.
  9. Proactive, self-motivated, and accountable approach to tasks.
  10. Proficiency in basic computer applications.
  11. Availability for on-call duties as part of the emergency maintenance rotation.
  12. Problem-solving skills and the ability to develop creative solutions.
  13. Valid, unrestricted driver’s license required.

Reporting Relationship

This position does not have direct reports. Success in this role depends on the ability to influence and collaborate effectively across teams and departments.

Minimum Qualifications

  • Minimum of 2 years of experience in residential property management, facilities management, project management, engineering, or a related field.
  • High school diploma or equivalent required.
  • Vocational training and relevant field experience preferred; a combination of experience and education may be considered on a year-for-year basis.

Physical Demands and Work Environment

Physical Demands:
  • Regularly required to stand, walk, use hands, reach, talk, and hear.
  • Frequent activities include climbing, balancing, stooping, crouching, lifting, and crawling.
  • Must have the ability to lift and move items; team assistance is required for objects exceeding 75 pounds.
  • Specific vision abilities include close vision, distance vision, and depth perception.
Work Environment:
  • Exposure to varying environmental conditions including hot and cold temperatures, confined or awkward positions, and physically demanding tasks.
