General Summary

  • The RT Office Coordinator supervises all aspects of the RT Office including managing patient flow, coordinating outpatient appointments with Scheduling, billing functions, maintaining department records, receptionist functions, and other clerical functions.  Assists with preparation of required monthly reports.

Essential Duties and Responsibilities

  • Demonstrates schedule flexibility, punctuality, and availability and works well under pressure.
  • Possesses excellent organizational skills, ability to prioritize and work independently.
  • Performs audits of billing and charges, and assures correct, timely entry of charges by therapists.          
  • Gathers and submits biweekly and monthly statistics.
  • Interacts with customers to assess satisfaction and acts independently to correct situations. Keeps both patient and significant others informed of exam status.  Responds to patients’ requests for assistance in a timely manner and follows through to meet patients’ needs.
  • Maintains respiratory supplies and equipment, as well as office supplies at acceptable levels.
  • Keeps information organized and accessible, maintains clean/functional work space, works systematically/efficiently, and manages time well.
  • Communicates well both verbally and in writing, creates accurate and punctual reports, shares information and ideas with others, has good listening skills.
  • Adapts to change, is open to new ideas, takes on new responsibilities, handles pressure, and adjusts plans to meet changing needs.
  • Skilled in the use of computers, adapts to new technology, keeps abreast of changes, learns new programs quickly, and uses computers to improve productivity.
  • Assists with employee scheduling and verifies proper coverage within the department.  Tracks tardiness and absences.

Education

  • High school diploma or GED required.  Associates degree in business preferred
  • Working knowledge of Microsoft Office Suite including Outlook, Word, PowerPoint, and Excel required
  • Two years of medical office clerical experience required.  Two years supervisory experience preferred.  Experience in medical office management preferred.  Strong verbal, written, and word processing skills.

Certification/License

  • Certification as a medical office manager preferred

Mental/Physical Requirements

  • Close mental and visual attention required for sustained periods of time.
  • Frequently works under stressful conditions due to demands of patients, vendors, and staff
  • Must be able to transport self throughout department.  Standing walking sitting, carrying/lifting (up to 35 lbs) turning, carrying, pushing, pulling, and stooping.

Working Conditions

  • May be exposed to patients with infectious disease, disagreeable odors from patients and/or chemicals.
  • Also exposed to noisy office environment due to equipment and high traffic work area.
