Job Summary

We are seeking a highly organized and detail-oriented Contract Coordinator to join our team. The Contract Coordinator will play a crucial role in facilitating the end-to-end contracting process, ensuring seamless communication between various departments, agents, and carriers. This role requires exceptional multitasking abilities, strong communication skills, and a keen eye for accuracy.

Primary Responsibilities

Contract Administration:

  • Assist in drafting, reviewing, and managing contracts, ensuring all terms and conditions align with company policies and legal requirements.

  • Maintain a comprehensive database of contracts, ensuring easy retrieval and efficient tracking of contract lifecycles.

  • Monitor contract expiration dates and renewal timelines to facilitate timely negotiations and renewals.

Coordination and Communication:

  • Collaborate with internal teams, including legal, finance, procurement, and project management, to gather necessary information and approvals for contract creation and execution.

  • Serve as a central point of contact for agents, carriers, and team members regarding contract-related inquiries, updates, and issues.

  • Facilitate communication between parties to resolve any contractual disputes or discrepancies.

Document Management:

  • Organize and maintain contract-related documents, correspondence, and records in an organized and accessible manner.

  • Ensure that all documentation meets company standards for accuracy, completeness, and compliance.

Reporting and Analysis:

  • Generate and present regular reports on contract statuses, key metrics, and trends to management for informed decision-making.

  • Conduct analyses of contract data to identify process improvement opportunities and enhance contract management efficiency.

Primary Skills & Requirements

  • Proven experience (3 years) in administration, or a similar role.

  • Strong understanding of contract terminology, clauses, and legal implications.

  • Exceptional organizational skills with a high degree of attention to detail.

  • Excellent written and verbal communication skills, with the ability to interact effectively with diverse stakeholders.

  • Proficiency in using contract management software and Microsoft Office Suite (Word, Excel, Outlook).

  • Ability to work independently, prioritize tasks, and manage time effectively to meet deadlines.

  • Strong problem-solving skills and a proactive approach to identifying and resolving issues.

  • Knowledge of industry-specific regulations and compliance standards (e.g., GDPR, HIPAA) is a plus.
