UW School of Medicine, Pre- and Post-Award, Integrated Resources has an outstanding opportunity for a Pre-Award Grants Manager to join their team.

About this Opportunity

Reporting to a Pre-Award Grants Manager - Lead, the Pre-Award Grants Manager supports the development and submission of grant and contract proposals for departments across the UW School of Medicine. This role combines deep research-administration expertise with high-touch partnership, helping faculty and staff navigate complex requirements while developing accurate, compelling, and timely proposals. The successful candidate will thrive in a deadline-driven environment, strengthen relationships across the research community, help improve systems and practices and ensure compliance with sponsor and University requirements.

Key Responsibilities

Grant & Contract Administration and Compliance Management (75%)

  • Serve as the expert on grants and contracts administration with substantial responsibility for managing the unit’s pre-award grants and contracts program.
  • Act as the grant and contract compliance officer for the department in compliance with UW, federal, and state policies and regulations.
  • Provide internal policy recommendations to Pre-Award Shared Services management based on federal and university requirements, or system functionality; assist in implementing new policy and procedures.
  • Coordinate with subrecipients/sub-contracts to ensure that proposal requirements and timelines are met. Answer questions and provide guidance of a similar nature as provided to the UW PI.
  • Escalate issues regarding specific proposals to the Administrator/VCFA and department contacts.

Quality Assurance (10%)

  • Conduct a quality control review of all proposals to ensure each application meets sponsor/proposal requirements and department/school policies before routing in SAGE.

Administration (5%)

  • Serve as the content expert and resource for faculty and other staff members regarding pre-award grants. Participate in regularly scheduled meetings and assist with development of policies and procedures.

Portfolio Management (5%)

  • Liaise with department and principal investigators, coordinate with contacts.

Lean Process Improvement (5%)

  • Recommend process improvements regarding the pre-award grants business process, quality control, and SharePoint system for grants management.

Required Qualifications

Equivalent education and/or experience may substitute for minimum qualifications except when there are legal requirements, such as a license, certification, and/or registration.

Minimum Qualifications

  • Bachelor’s degree in business administration, higher education administration, public administration, or a related field.
  • Three or more years of research-administration experience with substantial responsibility for proposal development, including complex budgets and subawards.

Additional Qualifications

  • Experience partnering with faculty and department leadership in a project-management context.
  • Demonstrated ability to manage competing priorities to meet deadlines while maintaining attention to detail.
  • Intermediate experience with Microsoft Excel and Word.
  • Demonstrated commitment to excellence and responsive, customer-focused service.

Preferred Qualifications

  • Intermediate knowledge/experience with OMB guidelines, Grants.gov and eRA Commons.
  • Experience working with staff from UW operations (OSP, SOM RGE, PAFC, GCA, etc.) and sponsor program and research staff.
  • Experience working with UW systems including SAGE and Award Portal.
  • Experience leading teams or projects.

Compensation, Benefits and Position Details

Pay Range Minimum:

$81,600.00 annual

Pay Range Maximum:

$96,000.00 annual
