Summary

IOG is actively seeking a highly skilled Travel and Logistics Manager to spearhead and streamline all facets of the company's travel and event logistics. This pivotal role demands strategic planning and sophisticated coordination to facilitate optimal travel arrangements across the company, emphasizing tailored services for the CEO and President. Additionally, the role involves the precise orchestration of logistics for a broad spectrum of events, both internal and external. The ideal candidate will bring a robust track record in organizational excellence and adept budget management, paired with a proven ability to collaborate seamlessly across diverse departments, ensuring a smooth, efficient, and effective operation.

Responsibilities

Travel Management:

  • Coordinate all travel arrangements for the entire company including flights, accommodations, ground transportation, and visas. 
    • Includes managing all travel for the CEO and President in collaboration with their staff, and may include collaboration with private aircraft management.
    • Includes occasional travel coordination for external stakeholders.
  • Manage travel itineraries, ensuring they align with business priorities and personal preferences.
  • Stay updated on travel advisories, visa requirements, safety protocols, and other travel-related information.
  • Work closely with appointed travel agency as needed

Event Logistics:

  • Collaborate with the Events team to plan, organize, and execute internal and external events, including conferences, meetings, and workshops.
  • Handle logistics such as venue selection, catering, audio-visual equipment, and transportation for event attendees.
  • Ensure events are executed within budget and meet quality standards.
  • Perform event retrospectives and implement learnings for continuous improvement 

Cross-Functional Collaboration:

  • Work closely with teams across the organization, including Security, Marketing, and Tribe Leadership, to ensure that travel and logistics align with business objectives.
  • Communicate effectively with stakeholders to gather requirements and expectations for travel and event planning.
  • Maintain a list/report of upcoming events across the organization and share with relevant stakeholders.

Budget Management:

  • Develop and manage budgets for travel and event-related expenses.
  • Monitor expenses, identify cost-saving opportunities, and report on budget performance.

Scheduling and Coordination:

  • Create and maintain detailed travel and event schedules, ensuring all timelines are met.
  • Communicate schedules, requirements, and key points of contact to internal stakeholders to provide timely and accurate execution of travel and events.
  • Coordinate with external vendors and service providers to secure necessary resources.
  • Craft standard templates for planning, communication, and budgeting
  • Ensure that the company’s internal Security and Events elements are kept abreast of any changes and necessary restrictions  in a timely manner. 

 

Requirements

Requirements

  • Bachelor's degree in Business Administration, Hospitality Management, or a related field (or equivalent work experience).
  • Proven experience in travel management, event planning, or logistics.
  • Experience in coordinating simultaneously with various stakeholders, both internal and external to the organization, to assure that all events and travel run smoothly.
  • Strong budgeting and financial management skills.
  • Excellent communication and interpersonal skills.
  • Detail-oriented with exceptional organizational abilities.
  • Proficiency in travel booking platforms and event management software.
  • Ability to adapt to changing priorities and work well under pressure.
  • Demonstrated expert level proficiency in Google Suite, Adobe product suite and Microsoft products

Location

IOG is a fully distributed organization but due to team distribution, we require someone to be based in the United States, preferably on the East Coast or Central.

The base salary for this position has a range of $83 up to $115k per year at the commencement of employment. Any offer is determined by overall experience and performance during the interview process. This is only part of the total compensation package.
