Job Title: Assistant Vice President of Online Operations
Department: Adult and Graduate Studies
Reports to: Director, Graduate Admissions
Job Summary: The AVP of Online Operations is responsible for overseeing and managing the operational functions related to online education, including budget planning, IT support, software implementations, data analysis, and marketing operations. This role requires strategic oversight, financial acumen, and the ability to lead special projects and recurring reporting processes. The AVP will also manage staffing, equipment, and facility-related tasks to ensure smooth and efficient online operations.
Budget Management:
- Lead yearly budget planning using Anaplan.
- Monitor budgets and address queries.
- Manage requisitions and purchase orders.
- Oversee the payment of invoices and bills via credit card (e.g., Lead Capsule).
- Approve credit card transactions and manage reporting (budget reporting not yet live).
- Develop new academic year (AY) revenue projections.
Special Projects:
- Oversee the implementation and maintenance of software systems, including:
- Ring Central
- Banner SAAS
- Slate
- Lead the development of reporting systems and dashboards.
- Conduct data analysis to support strategic decision-making using internal data and research.
Recurring Reporting:
- Prepare and analyze new AY enrollment projections.
- Generate daily, quarterly, and ad hoc enrollment and pacing reports.
- Produce Power BI enrollment production reports.
- Monitor LMS and marketing data for ongoing insights and updates.
- Create and present quarterly presentations/reports.
IT Support:
- Provide ad hoc support to staff and IT departments.
- Manage the mailing and receiving of laptops and other equipment.
- Maintain an updated inventory of equipment.
- Oversee the Ring Central Contact Center management.
Microsoft Process Assets:
- Develop and manage Power Apps, Power Automate Flows, and Forms to enhance operational efficiency.
VA Office Location Management:
- Coordinate with the landlord for lease payments and property communication.
- Manage office keys and ensure facility maintenance.
- Address ad hoc tasks related to the office environment.
Staffing:
- Maintain a comprehensive inventory of staff.
- Manage the onboarding and offboarding process for employees.
- Coordinate updates and changes with support departments.
Marketing Support:
- Update and maintain Lead Capsule campaigns and data structure.
- Manage and update source code inventory for marketing tracking.
- Provide reporting and data insights to marketing vendors as needed.
Other Duties as Assigned.
Qualifications:
- Proven experience in budget management and financial planning.
- Strong project management skills, particularly in software implementation and maintenance.
- Proficiency in data analysis, strategic planning, and reporting tools (e.g., Power BI, Anaplan).
- Excellent organizational and communication skills.
- Ability to work independently and manage multiple tasks effectively.
- Experience in IT support and office management is a plus.
- Familiarity with marketing data management and CRM tools (e.g., Lead Capsule, Slate, Banner).
Preferred Skills:
- Experience in higher education, particularly in online operations.
- Strong leadership and team management abilities.
- Familiarity with Microsoft Power Apps, Power Automate, and Forms.
