Executive Assistant:
As an Executive Assistant, you will provide high-level administrative duties for Executive Leaders using a high degree of independent judgment and discretion. Assignments include tasks of a non-routine and non-repetitive nature and require extensive working knowledge of all company procedures and practices. You will handle a broad scope of confidential and proprietary information.
What You'll Do:
- Responsible for the completion of all assignments and/or projects assigned by executive leaders.
- Coordinates extensive travel arrangements (domestic and international) and manages executives complex calendar.
- Screens incoming calls, e-mail, mail, visits, problems and other relevant matters for appropriate action. Maintains follow-up system on actions required on a periodic basis.
- Ensures executives are always aware of their schedule.
- Provides basic technical support to the executives.
- Plans meetings and other events as required such as our culture club events and other related activities
- Processes executives complex expense reports.
- Composes and prepares a variety of correspondence and reports. Initiates or responds to inquiries and reports potential problems and assists in the solution in these areas.
- Assists in the development and preparation of presentation slides and materials.
- Provides support, as needed, on evenings and weekends (generally from home).
- Performs liaison activities relative to their involvement or the company’s participation in major business and civic organizations; may plan some events.
- Collaborate with employees (all levels), customers, suppliers, and others.
- Performs other duties as required or assigned. May assist other executives as needed.
What You Need:
- Four-year degree preferred or equivalent experience
- 10+ years of progressively responsible administrative experience with at least five years supporting C-suite executive level management.
- High level of resourcefulness with knowledge of company operations.
- Strong interpersonal skills; ability to interact with people at all levels both internally and externally.
- Advanced Word, Excel, PowerPoint and Outlook skills. Ability to provide basic technical assistance related to i-phone, i-pad, laptop, etc.
- Experience in coordinating extensive travel arrangements and calendaring/scheduling.
- Strong organizational and prioritization skills
- Ability to handle diverse work assignments
- Ability to provide basic technical support and learn new programs easily.
- Excellent command of spoken and written English.
- Skill in producing clear and concise memos, letters, and reports.
- Ability to work well and maintain professional composure under pressure and to meet deadlines.
- Ability to use discretion and confidentiality in handling day-to-day activities.
- Ability to work unsupervised.
- Ability to take initiative and be self-motivated.
- Thrives in a fast-paced, agile environment.
Where You'll Work:
This is a hybrid-based role that will report out of our corporate headquarters in Downers Grove, IL.
Pay & Benefits:
- The salary range is $90,000 - $115,000. This role is also eligible for incentive pay.
- The specific salary offered to a candidate may be motivated by a variety of factors including the candidate’s meaningful experience, education, training, certifications, qualifications, and work location.
