About the role

Summary:

This Administrative Coordinator position drives employee experience and provides support to management through various office related operations to create a professional atmosphere and improve efficiency.

 

Duties and Responsibilities:

  • Process entries into the Safety database as well as other clerical processing duties within the Distribution Center office.
  • Sort, deliver incoming mail; collect, send outgoing mail.
  • Greet, welcome, and direct visitors.
  • Research and resolve any contract inconsistencies with our current service providers.
  • Function as liaison between the DC and payroll/HRIM.
  • Perform other clerical duties such as filing, faxing, copying, etc.
  • Act as payroll liaison, disseminate paychecks, handle payroll/commission issues, prepare one-time payments.
  • Assist with clerical and administrative duties including but not limited to monitoring office inventory, ordering supplies, filing, and faxing.
  • Communicate new policy or policy changes via memo or newsletter. Monitor corporate communications for the facility.
  • Manage HR bulletin board and employee of the month recognition. 
  • Event planning for local company events.
  • Order and maintain inventory of shirts and awards for employee programs.
  • Manage employee badge system and keys for the facility.
  • Conduct new hire orientation and safety training, and assist with annual benefits enrollment.
  • Manage annual shoe purchase program for employees.
  • Process leave of absence, FMLA, and Workers Comp documentation.

 

Skills and Competencies:

  • Ability to multi-task, prioritize, and work under tight deadlines.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, OneDrive), experience with document management systems a plus.
  • Ability to communicate effectively across departments and with external stakeholders.

 

Minimum Qualifications:

  • High school diploma or equivalent. 
  • Six (6) months of experience working in a professional office environment.

 

Preferred Qualifications:

  • Ability to handle team members’ confidential information with discretion.
  • Previous HR experience, including onboarding employees is a plus.

 

Working Conditions:

Physical Requirements:

  • Sit 60-70% of the day.
  • Ability to lift boxes weighing 30 lbs. or less. 

 

Environment Requirements: 

  • This is not a work from home position and employee must report to Distribution Center locations for work each day. 

 

Travel:

  • Occasionally, less than 25%.
