Summary

The Legislative Department has an outstanding opportunity for a full-time Legislative Assistant – Scheduler in the Office of Councilmember Maritza Rivera (District 4). This is a dynamic, fast-paced, and collegial environment that provides an opportunity for you to demonstrate your skills in administrative office operations, communication, and to grow professionally.
 
We are seeking a self-starter with strong attention to detail and keen sense of organization; the ability to prioritize and demonstrate sound judgment; discretion in handling sensitive and confidential matters; and the ability to manage multiple projects while responding quickly and professionally to those who contact the office. Excellent written and oral communication and interpersonal skills are essential to this role.
 
This is an critical position in a hard-working office where teamwork and individual responsibility are valued. The office is comprised of three staff members with this position reporting directly to Councilmember Rivera. This at-will appointment serves at the discretion of the Councilmember.

Examples of duties

  • Assume responsibility for administrative and scheduling support to the Councilmember, including maintaining and managing the Councilmember’s calendar scheduling, organizing, and coordinating meetings and appointments between the Councilmember and other stakeholders. 
  • Assist with screening, prioritizing, and responding to incoming correspondence and communications in a timely manner, including emails, phone calls, and mail; and keep the Councilmember informed.
  • Act as the primary committee clerk, preparing scripts, managing committee meeting public comment and minutes. 
  • Coordinate and prepare a daily book with agendas, incoming legislation, reading materials, and notes for the Councilmember.
  • Manage the Councilmember’s social media accounts, with supervision.
  • Stay informed about policy issues and legislation before the Council.
  • Other duties as assigned.

Qualifications

In addition to the qualities mentioned above, a strong candidate might also have prior experience that offers similar knowledge, skills, and abilities:
  • Experience in administrative assistance, communications, customer service, public relations, or other relevant experience in a volunteer or professional capacity, or
  • Experience working for an elected official, executive, or director.
  • Ability to set priorities, meet deadlines, track projects, and accomplish objectives with minimal supervision or oversight.
  • Ability to maintain confidentiality and remain calm under pressure; a track record of reliability, hard work, cooperative style, the ability to contribute as a team player and also work independently.
  • Willingness and capacity to attend community meetings at irregular times, including mornings, evenings, and/or on weekends.
  • Experience with Microsoft Office Suite, Outlook or similar scheduling tools.
