Definition:
Under general supervision, performs administrative duties of a varied nature requiring intermediate to advanced knowledge of medical terminology and use of independent judgment in the application of basic agency policies.
Typical Functions:
- Serves as Assistant Family Assistant Coordinator to include placing phone calls to families, funeral homes and other outside agencies, and interacting with families in person.
- Serves as the daily backup to the Receptionist.
- Handles Accounts Receivables for the permit accounts.
- Assists the Administrative Department as needed
Examples of Work Performed:
- Serve as backup for the Family Assitance Coordinator.
- Gather information from pathologists in reference to the cause of death, type of injuries and what information may be released to families.
- Contact family members as requested by pathologist to gather pertinent information in relation to the death and directly after the autopsy with results of the gross examination.
- Keep case files electronically updated with documentation of case progress, telephone conversations, conferences, and case disposition.
- Responsible for providing Crime Victim resources to families of all cases of victims of violent crimes and remaining a source of information and support, for as long as necessary after the death.
- Serve as the receptionist backup providing daily relief for breaks and lunch periods.
- Accounts Receivables for the permit accounts to include receipting and posting payments daily received via postal mail or on-line.
- Performs other duties as assigned by the Division Manager and Chief Medical Examiner.
Knowledge and skills:
Applicant must possess strong, accurate skills with spelling, punctuation, proper use of the English language, and mathematics. Knowledge of medical terminology and the ability to present clear and accurate written and oral reports is an absolute must. Additional knowledge of anatomy and physiology and general disease processes is desirable. Applicant must possess and maintain mental stamina to perform the work and willingness to accept the mental discomforts inherent in the work. Ability to represent the agency in a professional manner with integrity and exhibit good people skills. Applicant must pass a background investigation, be at least 21 years of age, and possess a valid Oklahoma Driver’s License and social security card or work visa.
Knowledge and experience with Microsoft Office and multi-line phone system. Applicants must be able to deal tactfully and professionally with the public as well as handle confidential work with tact and discretion. The job requires extreme levels of attention to details.
Education and Experience:
Education and experience requirements at this level consist of a minimum 3 years of professional or technical administrative experience in medical and/or office setting.
Previous experience in medical and/or office setting.
Previous experience dealing with grief and/or highly emotional situations.
