We are looking for an Administrative Assistant to join our FE_Energy team in United States .

 

Your main tasks and responsibilities:  

 

  • Answer, direct, and respond to phone calls, emails, and messages in a timely manner. 
  • Greet visitors, clients, and employees in a professional and welcoming manner.
  • Maintain the visitor log and inform relevant staff of guest arrivals.
  • Manage and maintain the reception area, ensuring it remains organized and presentable.
  • Collect, sort, distribute and prepare mail, messages, and courier deliveries.
  • Order and maintain office supplies and inventory, including checking the breakroom and stocking supplies several times a day.
  • Maintain an organized supply area for easy access. 
  • Assist with meeting and conference coordination, including ordering catering and coordinating the delivery and setup.
  • Prepare meeting rooms with necessary supplies and equipment and maintain meeting rooms after each use. 
  • Responsible for ordering business cards and address any work order issues throughout the floors. 
  • Assist with other administrative tasks such as filing, data entry, and document preparation as needed.
  • Support the team with special projects or events (including planning company events) as required.

 

To succeed in this role, you will need: 

 

  • High school diploma or equivalent.
  • A minimum of 2 years’ experience as a receptionist or in a similar administrative role. 
  • Ability to handle confidential material / matters with integrity.
  • Excellent communication (both verbal and written) and interpersonal skills, including highly developed grammatical, punctuation, spelling, and composition skills.
  • Professional demeanor for high visibility position.
  • Demonstrated proficiency on personal computer and Microsoft Office applications.
  • Very organized, with ability to prioritize and work under pressure of multiple directors, tasks, and deadlines.
  • Customer service oriented.
  • Ability and willingness to work within a team environment in support of company objectives.
  • Onsite work is an essential function of the job.
