This is an outstanding career opportunity in a leading venture creation firm for an experienced Executive Administrative Associate to join the Corporate Development and Origination Lead’s team to provide high-level support and partnership with the Executive Partner, Origination and Corporate Development. The ideal candidate will leverage a broad range of skills with the highest degree of professionalism and discretion in handling a wide variety of comprehensive responsibilities. Must be detail-oriented, poised under pressure, and have strong organizational skills to effectively manage administrative tasks. Requires the ability to proactively build organizational knowledge and relationships and think critically and creatively to support problem-solving and ensure strong communication flow and follow-through.
Responsibilities:
A comprehensive range of administrative duties, including but not limited to:
- Strong partnership with the Executive Partner who leads a team of professionals across Corporate Development and Origination oversight
- Calendar management and schedule oversight for the Executive Partner
- Support for Corporate Development and partnership activities:
- Coordinate and track project work associated with corporate partnerships and other external relationships
- Anticipate upcoming external meetings and coordinate strategic and logistical preparations with relevant team members
- Briefing coordination
- Calendar coordination for complex engagements
- Liaising with the events team
- Develop mechanisms for tracking and advancing portfolio level activity for corporate partnerships
- Advance Origination Lead activities
- Proactively coordinate internal meetings associated with Origination priorities
- Ensure meeting materials are developed, filed and distributed among key stakeholders to ensure implementation of key activities and meeting outcomes
- Develop appropriate tracking systems for leading Origination activities
- Database administration:
- Serve as Salesforce administrator for the department
- Oversee filing system for documents & other materials for all meetings and engagements. Including but not limited to:
- Reports and meeting materials
- Speeches, public engagement briefings and other written materials
- Briefings for all home and travel engagements
- Email management as required by the Executive Partner
- Proactively coordinate internal meetings associated with Origination priorities
- Address expense reporting and reimbursement for Executive Partner
- Collaborate with other administrative staff members in coordination of calendars, requests, and events. Provide back-up coverage to other Executive Administrators as necessary.Qualifications:
- Bachelor's degree required
- 5 plus years of experience in providing support to high-level executives at the “C” level suite leaders
- High level of commitment, availability after hours and on weekends, as needed
- Significant responsibility working in a dynamic, demanding, and fast-paced environment
