TITLE: Administrative Assistant I

LOCATION: Naples, FL

Your Specific Responsibilities:

This position is assigned to the administrative staff of the Environmental Public Health Division and is responsible for providing administrative support work for the Water, Onsite Sewage Treatment and Disposal Systems (OSTDS) and Facilities programs. This position works under the supervision of the Environmental Administrator.

  • Utilizing word processing and computer-based data applications, produces letters, memos, forms, and emails; files correspondence and reports in electronic database and manual files; records all correspondence notes in electronic database; receives and distributes mail and reports; and maintains division supplies.
  • Performs general receptionist duties providing information to clients in person and by telephone utilizing automated and manual files; greets and directs clients to appropriate staff; takes messages and directs phone calls to staff; and performs related duties.
  • Assists in receiving, posting and preparing reports for all cash, check and credit card transactions.
  • Assists with annual billing of all facilities and issuance of operating permits.
  • Performs other related duties as required.

Required Knowledge, Skills, and Abilities:

  • Ability to use computers and computer programs.
  • Ability to plan and organize work assignments.
  • Ability to work with customers with multiple communication methods.
  • Knowledge of standard office filing workflow procedures.
  • Qualifications:

Qualifications:

Required:

  • Valid Driver’s License and reliable transportation
  • Incumbent may be required to work before, during and/or beyond normal work hours or days in the event of an emergency. Emergency duty required of the incumbent includes working in special needs or Red Cross shelters, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.
  • This is a full-time, in-office position.

Preferred:

  • Minimum of two years of administrative, secretarial, or clerical experience.
  • High School diploma or an equivalent GED.
  • Bachelor’s degree from a U.S. accredited college or university.
  • Experience providing advanced level administrative support, including creating, handling, or processing legal documents. 
  • Experience achieve a goal or meeting deadlines. 
  • Experience you have with cash handling, purchasing, or invoice reconciliation.
  • Experience providing work-related education to a customer.
