Job Title: Administrative Coordinator
Department: Career Development
FLSA Status: Non-Exempt
Grade: 4
Work Schedule: 35 hours/week; 12 months/year
Hourly Range: $20.22 - $24.73
Reports to: Executive Director, Career Development
Position summary: The position is the initial contact for the Joseph Meyerhoff Center for Career Development, providing communication between the Center, the MICA community, and the general public.
General purpose: Provide major administrative and operational support for the Joseph Meyerhoff Center for Career Development, which includes a busy student-centered office.
Major role functions:
Administrative Assistant to the staff of the Career Development Center
Maintain a student-centered and service-oriented approach
Communicate effectively with both external and internal constituencies
Possess effective organizational skills, attention to detail, and an ability to multi-task
Value the role of the artist in society, and be eager to learn and share about opportunities for artists
Position responsibilities:
Manage undergraduate, graduate student and alumni career needs, setting up appointments and making referrals to specific people or resources as appropriate.
Answer questions about the JMCCD and its policies, services and procedures in person, over the phone and via the Career Development email account as the initial point of contact for the office. Determine when calls and emails need to be referred to the Executive Director or Assistant Directors.
Supervise, hire and train student work study students, ensuring office coverage at all times.
Compose and compile a bi-weekly newsletter for faculty, staff and students.
Manage Career Development social media accounts including Instagram, Active Campaign, MICA/App and other means to promote career news, programs, and opportunities weekly.
Maintain www.mica.edu website and various blogs. Write short copy for website, post program schedule, and maintain online resource library.
Reconcile the office budget, and coordinate purchasing. Provide regular updates for the Executive Director.
Provide administrative support to the staff, including specific projects (ie: presentations, budgets, reports) for overall operation of the JMCCD.
Manage MICAnetwork job and opportunity database module daily, including approval of students, alumni, employers and jobs. Assist staff with adding and extracting information and gathering statistics on various populations in MICAnetwork.
Analyze data and create reports including but not limited to: grants, fellowships, and internships, The First Destination Survey, and annual reports
Provide logistical and scheduling support for all programs and events, including maintaining a program calendar for each semester
Serve on Student Affairs Committees.
Perform other related duties as assigned.
Required essential skills and experience:
Bachelor’s degree with one year of administrative experience.
Attention to detail, sound judgment, and the ability to multitask.
Excellent interpersonal, oral and written communication, and organization/planning skills.
Ability to take initiative and work independently while part of a team.
Computer skills including proficiency in Adobe Creative Suite, Google Suite, Microsoft Office Suite, and databases and web research.
Valued but not required skills and experience:
Experience in an art and design environment or careers/human resources office.
Experience working with college students.
Supervisory experience.
