Job Description
The Senior Accounts Payable Specialist is responsible for handling accounts payable functions timely and accurately. This role involves AP invoice processing, resolving errors, managing aging accounts to prevent overdue payments, and providing exceptional customer support. Senior AP Specialist will assist with audits, maintain data integrity, payment processing with various payment methods, and handle vendor setups and 1099 reporting. Additionally, the role supports AP operations through adherence to policies, data analysis, and contributing to monthly reporting and reconciliation efforts.
· The Senior Accounts Payable Specialist ensures all invoices received are reviewed and processed accurately, efficiently, and promptly into the company's Accounts Payable (AP) system.
· Upload batch invoices into computer system using Excel spreadsheet.
· Review Concur Capture for errored invoices, resolve and re-submit for processing.
· Conduct aging review and manage accounts to prevent overdue payments.
· Provide AP support via phone and email by delivering excellent customer service to all requesting assistance.
· Research vendor inquiries and troubleshoot Accounts Payable issues.
· Ensure AP integrity through audit reports, data analysis, and collaboration with other team members.
· Maintain AP operations by following policies and procedures; report needed changes.
· Process live check, ACH and EFT payments.
· Perform and manage vendor setup procedures efficiently and accurately to include setting up vendor banking information and 1099 reporting status.
· Maintain and update all account payable data and ensure accuracy in general ledgers.
· Ensure vendors receives 1099 forms and resolve all related issues.
· Assist with monthly AP reporting, analysis reconciliation.
· May perform other duties as needed and/or assigned.
Qualifications
- High School Diploma or General Education Diploma is required.
- Associate degree or Technical Training is preferred.
- One (1) or more years of experience with clerical tasks, data entry, Accounts Payable, and customer service is required.
- Experience with ERP or Accounting Software is required.
- Experience using Microsoft Office applications is required.
- Strong computer skills, including Excel and MS Office tools, spreadsheet, and database usage.
- Ability to utilize new tools and technologies in a rapidly changing environment.
- Strong analytical and problem resolution skills with high attention to detail, timeliness, and accuracy.
- Ability to multi-task
- Knowledge of GAAP.
- Ability to effectively and professionally communicate (verbal and written) with all levels of personnel internal and external to the company.
- Ability to work responsibly with highly confidential information and of maintaining composure under pressure.
- Able to exercise independent judgment in carrying out the details of the work according to applicable regulations, company policies and procedures.
