SUMMARY

Provides superior administrative service to current and future policyholders and agents by effectively building strong professional relationships to meet revenue, service, and retention goals.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Answers calls and assists customers and prospects for the agency and service center.
  • Distributes postal mail to agency staff.
  • Receives, sets up and distributes leads to agency staff.
  • Index and transact various documents from daily postal and scanned mail.
  • Download and reconcile daily Agency Management System (AMS) reporting
  • Review all insurance policies, endorsements and invoices for accuracy.
  • Process checks and ACH payments for the Personal Lines (PL) agency.
  • Daily data entry for new and current policy holders into AMS, maintaining document per company standards.
  • Data entry during acquisitions or transferred books of business.
  • Identifies and recommends process improvement opportunities and assists in the development and maintenance of written procedures and forms as needed.
  • Create and manage agency reporting, which requires strong analytical skills.
  • Assists agents with customer service-related activities for new and current policy holders
  • Reconciles and manages the monthly agent’s commission balancing statement.
  • Assist and support Agents with other miscellaneous administrative task as needed.
  • Download documents from various carrier sites and various portals.
  • Replies to Commercial Lines (auto, general liability, property, etc.) and/or PL general information requests.
  • Manage the completion of policy renewals, endorsements, and cancellations including quotation and negotiation.
  • Generates certificates of insurance and send accordingly.
  • Maintain DocuSign processes for renewals, certificates, applications, etc. to help reduce costs and improve efficiencies.
  • Coordinates and organizes team meetings, luncheons and teambuilding activities as needed.

QUALIFICATIONS

  • Associate’s degree in Business or related field preferred; or 1-2 years related customer service experience and or/training; or equivalent combination of education and experience.
  • Advanced skills in MS Office products including Word, Excel, PowerPoint, and Outlook.

  • Prolonged periods sitting at a desk and working on a computer.
