JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Aide provides daily assistance to the Neonatologists, Neonatal Nurse Practitioners, Fellows, Residents and Interns who care for the newborns in the NICU. This position assists the coordinator in carrying out administrative functions in the daily operations in the Department of Pediatrics, Division of Neonatology.
- Provides administrative support for Division Neonatologists.
- Updates faculty curriculum vitae as new information is received.
- Record minutes for monthly administrative meetings; transcribes and distributes monthly minutes; assists with agenda and materials preparation.
- Prepares monthly Le Bonheur Children’s Hospital Medical Director timesheet.
- Schedules Neonatal Abstinence Syndrome consults.
- Assists fellowship program coordinator with Neonatal-Perinatal Medicine Fellow interviews.
- Serves as backup for the preparation of the monthly Newborn Center attending schedule for faculty, fellows, and nurse practitioners.
- Coordinates death certificate assignments and completion of electronic death certificates.
- Assists with the organization of special educational events and activities.
- Enters ROH work orders.
- Assists in organizing group events for the division retreats/year-end or other activities which could require food setup.
- Must learn the roles/functions of other administrative positions and work as a team.
- Performs other duties as assigned.
EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)
EXPERIENCE: Two (2) years of administrative/secretarial experience; OR an Associate’s Degree in lieu of experience.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Knowledge of office procedures and methods.
- Ability to understand and follow instructions.
- Ability to organize and maintain routine files.
- Ability to work with little or no supervision.
- Ability to operate office equipment such as photocopiers, fax machines, multi-line telephone systems, and calculators.
- Computer experience using Microsoft Office Suite, Excel, Access, Outlook, and PowerPoint.
