Job Summary
As the Executive Assistant, you will play a crucial role in facilitating the smooth functioning of the executive office. You will provide high-level administrative support to the COO and members of the executive team, manage complex schedules, coordinate executive communications, and ensure efficient day-to-day operations. The ideal candidate will demonstrate a proactive approach, exceptional organizational skills, and the ability to handle sensitive information with utmost confidentiality.
Duties & Responsibilities
- Take responsibility for UIH’s installation strategy for all systems, including new product installations (NPIs).
- Continually revise and improve site plans, planning processes, and installation manuals for use by UIHS, channel partners, and customers.
- Improve installation templates for existing and new products.
- Recommend engineering/product changes as needed to HQ BUs to enhance siting and installation quality and efficiency.
- Recommend enhancements for third-party items and rigging/installation/delivery vendors to improve installation quality and efficiency.
- Review all anchoring and tools used for installations, suggesting improvements as needed.
- Develop installation training programs and certification processes for all internal and external resources.
- Train internal and external resources on installation best practices, including comprehensive end-to-end installation skills and proper documentation of installation completion.
- Mentor CSEs and other installation participants on correct installation processes.
- Work closely with Project Management and Procurement on the management of third-party installation contractors.
- Work with BU and consultants to ensure all systems and third-party items are seismic qualified for installation across the US.
- Work closely with Regional Service Managers to ensure proper resource assignment for all installations.
- Together with Project Management, drive the process for new and unique types of installations.
- Track installation costs, seeking potential improvements without jeopardizing quality.
- Establish standardized installation timelines by product, continually optimizing processes to improve efficiency and reduce cycle times.
- Frequently visit and participate in equipment installations, start-ups, and system calibrations.
- Ensure that AARs are submitted for all installations in a timely manner, participate thoroughly in AAR and follow-up processes.
- Take detailed notes during leadership meetings, set up action items, and ensure follow-through on task
