About the role

Primary Purpose

Responsible for designing, planning, and executing a variety of special projects and events to activate leaders and teammates around key People & Culture initiatives. Execute on a range of projects to deliver results, event management, project management and team leadership.

Major Responsibilities

  •  Partner with leadership to build and implement a comprehensive annual plan for people activation special projects and events aligned to the organization’s goals and People & Culture Function objectives.
  • Lead the planning and execution of large-scale people activation events, including virtual and in-person events, team-building, and other projects to activate Enterprise leaders and teammates through a lens of innovation and best-practice. 
  • Leads the end-to-end logistics planning and project management for events including creating and managing assets, distribution/invite lists, vendor contracting, coordination of hotel, flight, ground transportation and other planning activities. Collaborate with cross-functional teams to ensure events and content is well-coordinated and best-in-class. 
  • Cultivates positive relationships with various stakeholder groups across People & Culture, Enterprise Strategy, Marketing and Brand, senior leadership and their executive assistants, and external partners, to ensure productive and successful events and meetings. Build and maintain relationships with external vendors, venues, and partners to support event execution.
  • Manages production details including video, slideware, graphics, A/V coordination and other key production elements ensuring seamless delivery and execution. 
  • Develops and manages the budget for people activation events and special projects, optimizing resources to achieve desired outcomes. Manage event budgets, timelines, and logistics to ensure successful and cost-effective execution.
  • Oversees the creation and execution of communication plans to drive event participation and engagement. Partners closely with leaders and internal and executive communications teams to coordinate on-brand materials and assets, including email invitations, signage, pre-work and takeaway messaging post-event. This includes managing our Leadership Resource Site and maintaining information including leadership directories, files, videos and other assets. 
  • Develops and administers surveys and other feedback mechanisms to evaluate the effectiveness of events and leader sentiment. Evaluate the success of events through feedback and metrics and provide recommendations for continuous improvement. Stays current with industry trends and best practices in event planning and employee engagement.

Minimum Job Requirements 

Education: Bachelor's degree in Event Management, Communications, Marketing, Business Administration, or a related field. 

Certification / Registration / License 

Work Experience: Typically requires 10 years of experience in event planning, with at least 3 years in a leadership role 

Knowledge / Skills / Abilities 

  • Strong organizational and project management skills, with the ability to manage multiple events simultaneously.
  • Excellent interpersonal and communication skills, with the ability to engage and inspire employees at all levels.
  • Proven ability to develop and execute strategic event plans that drive employee engagement and organizational success.
  • Experience managing budgets and negotiating with vendors.
  • Creative thinking and problem-solving abilities.
  • Ability to work in a fast-paced environment and adapt to changing priorities.
  • This position manages a small team and contractors.

Physical Requirements and Working Conditions 

  • Position may require travel and will be exposed to weather and road conditions
  • Operates all equipment necessary to perform the job.
  • Exposed to a normal office environment.
